Elite firm has an immediate need for a legal practice assistant to be an integral part of the team. Outstanding opportunity with diverse responsibilities. Successful candidate will be able to provide quality administrative and secretarial support, bilingual Spanish preferred.Legal SecretaryResponsibilities:Provide administrative support and produce a wide range of complex documents; interact and meet with clients on a regular basis.Produce quality, work while managing deadlines, responding to change and the competing priorities of all work.Prepare expenses; complete invoice approval forms and expense reports and prepare bills.Assist partners with preparing pitches, updating CVs and credentials.Retrieve client contact/ cases information and update databases.Implement work practices with partners to manage the matter life cycle from file opening to closure/archival.Make certain callers and visitors receive high quality service and their expectations are managed.Oversee appointments and meetings, assist with meeting preparation and the coordination of post meeting actions.Organize travel arrangements for the assigned partners including appropriate visa documentation and domestic and international itineraries.Plan lunches and dinners and other events as required, including reviewing venues and menu planning and ensuring costs are maintained against budget.Prepare files for archiving and manage return and retrieval of files.Manage email. This includes timely filing of emails (including hard copy filing where necessary), filtering incoming correspondence, proactively dealing with queries and meeting invites. Deal with hard copy mail/post in the same manner.Ensure filing is up to date. Print documents as required and file them in the relevant files promptly.Provide language assistance and use your local knowledge to assist visiting and overseas partners and fee-earners to settle in to their new country/city.Take recommended training, stay abreast of firm policies, adopt new or improved firm and practice group recommended work practices.QualificationsProficient with the Microsoft suite (Outlook, Word, Excel and PowerPoint).Exceptional verbal and written communication skills.Superior organizational and time management skills. Ability to think ahead, prioritize workload, and work under pressure to meet deadlines.Good judgement and problem-solving ability.
