Location: KDA Headquarters, Riley County, KS The agency is looking for a dynamic individual who can work with a high degree of autonomy and professionalism with skills and experience in scheduling, organization, meeting and event planning, and document preparation. This individual will schedule internal and external meetings for the Secretary, make in-state and out-of-state travel, airline, and hotel accommodations and arrangements, and enter travel expenses for reimbursement into SMART for the Secretary, State Board of Agriculture, and other members of the executive team. They will need to complete purchase requisitions, encumbrances, and other fiscal documentation. The individual will perform various secretarial work under the general supervision of the Secretary, including properly documenting expenses from the Office of the Secretary, maintaining an external contact database, and monitoring subscriptions. They will develop and maintain a detailed understanding of agency programs and personnel to effectively refer constituent concerns to appropriate staff for timely assistance and monitor multiple email accounts, taking accurate and detailed meeting notes. At times, the individual will coordinate speaking engagements for the Secretary and assist in the development of presentations and the drafting of official correspondence with other executive team members. They will be expected to have well-developed communications skills, both oral and written. For event and meeting planning, responsibilities can include, but are not limited to, building online registration forms and post event surveys, sending invitations, collecting RSVPs, securing facilities, ordering catering, and printing materials. During business hours, the individual will be expected to courteously and professionally greet customers on the phone, greet walk-in guests and screen telephone callers for proper routing to ensure that the agency is responsive to customer service requests. Qualifications: * Three to five years of experience in general office, clerical, and administrative support work. Education may be substituted for experience as determined by the agency. * Ability to work cooperatively with others, develop, and maintain positive working relationships, but also work independently as necessary. * Must be a self-starter and work well in a team setting. * Detailed oriented and highly organized. * Good written and verbal communications skills required * Employee must have a valid Class C (or higher) Kansas driver's license or equivalent license from another state. Employee is responsible to maintain an acceptable driving record to safely drive state vehicle and be willing and able to fulfill all job-related travel normally associated with this position.
