Program Aide 2 (Abuse Investigations Unit) Clackamas County Social Services Division is seeking a resilient and customer service-oriented Program Aide 2 to provide administrative and program support to the Developmental Disabilities Program, and primarily the Adult Abuse Investigations Team. This position will encounter information and documentation related to abuse and neglect of people with developmental disabilities. This position supports the DD Program by performing a variety of clerical, records management, data entry, and customer service functions while adhering to applicable policies, procedures, confidentiality requirements, and regulatory standards. The Program Aide 2 works collaboratively with program staff, service providers, and the public to support program operations and service outcomes. Required Minimum Qualifications/ Transferrable Skills: Minimum of two (2) years of related experience that would provide the required knowledge and skills to perform the responsibilities of this position. Two (2) years' experience developing and maintaining moderately complex record keeping. Intermediate proficiency with Microsoft 365(Teams; Excel; Word; PowerPoint; etc. ). Demonstrated Knowledge of rules and regulations regarding confidentiality and the release of confidential, protected and sensitive information and reports. Experience with and ability to establish and maintain cooperative relationships with service providers, agencies, law enforcement and other social service professionals. Preferred Special Qualifications/ Transferrable Skills: Experience with SharePoint. Experience working with vulnerable populations. Knowledge of health and safety needs of individuals with developmental disabilities. Knowledge of laws, rules and regulations applicable to abuse and neglect of people with developmental disabilities. Pre-Employment Requirements: Must pass post-offer, pre-employment drug test. Must pass a criminal history check which may include national or state fingerprint records check Driving is required for County business on a regular basis or to accomplish work. Incumbents must possess a valid driver's license, and possess and maintain an acceptable driving record throughout the course of employment. Typical Tasks Administrative & Program Support Provides administrative and program support to the Developmental Disabilities Program, Abuse Investigations Unit. Assists program staff with administrative tasks related to investigation activities, or service coordination, as assigned. Sensitive information and that including descriptions of abuse will be part of the documentation encountered. Supports program workflows by tracking documents, monitoring case-related materials, and ensuring required information is complete and properly routed. Schedules meetings, trainings, and appointments; prepares materials and provides logistical support. Utilizes office equipment and software applications, including Microsoft 365 tools (Word, Excel, Outlook, Teams, SharePoint), to support daily operations. Assists in coordinating response to customer service issues; clarifies, resolves or assigns public inquiries and complaints to appropriate professional personnel for resolution. Complete notifications to appropriate entities within required timelines. Records Management & Data Entry Performs accurate and timely data entry into multiple databases and tracking systems. Maintains electronic and paper files in accordance with County policies, confidentiality requirements, and records retention guidelines. Processes, reviews, organizes, and maintains confidential and sensitive records, reports, and documentation. Apply moderately complex record-keeping practices using established systems and procedures. Complete Records Requests following established procedures. Communication & Customer Service Responds to inquiries from staff, service providers, partner agencies, and the public. Provides routine information within the scope of position authority while maintaining professionalism and confidentiality. Prepares routine written correspondence, forms, and reports using standard office software. Compliance & Confidentiality Adheres to applicable state and federal laws, regulations, policies, and procedures related to confidentiality, privacy, and the release of information. Ensures sensitive and protected information is handled appropriately in all records, correspondence, and communications. Collaboration & Professional Practices Establishes and maintains effective working relationships with coworkers, service providers, external partners, and the public. Works effectively as a team member to support program goals and service delivery. Follows written and verbal instructions; prioritizes and organizes work to meet deadlines in a fast-paced environment. Attends meetings and training sessions as required. Performs related duties as assigned to support division and program needs. Work Schedule This position is included in the County's alternate workweek program, working 37.5 hours during a standard workweek of Monday through Thursday (Fridays off). Specific hours of work will be discussed with the candidate selected for this position at the time an offer of employment is extended. This position is eligible for hybrid on-site/telework subject to the and based on the Department's business needs. The exact amount of on-site/telework and schedule will be discussed with the hiring manager during time of offer. Telework locations cannot be located outside of Oregon or Washington. Washington residents must perform 50% of their time on-site at Clackamas County.
