Job Overview: The Assistant Property Manager is responsible for planning and coordinating the day-to-day operation and maintenance for the defined portfolio. The primary purposes of this position are to ensure the properties are maintained and operated in a first-class and efficient manner. The Assistant Property Manager, with direction from the AVP, has the overall responsibility of ensuring the value and protection of the real estate through continually acting in the best interests of both management and ownership. Responsibilities and Duties: Performs and coordinates routine maintenance and physical inspections of all assigned properties in accordance with company protocols. Maintains designated compliance to State, County or City Ordinances, Codes or Laws where applicable and communicates with outside agencies as needed Oversees vendor service contracts, e.g., snow removal, landscaping, security, site maintenance. Ensures that all Landlord MEP and life-safety systems are functioning and inspected in accordance with allcode requirements, including p eriodically perform health checks on all utility accounts, e.g., water, gas, electrical consumption for Landlord House Accounts in coordination with the property administrator. Assists in oversight for all routine property management related projects including mill and pave, roof replacement, faade repair/local law repair/replacement, MEP repair, minor renovation, etc. Tracks and maintains department records, including but not limited to, roof preventative maintenance inspection logs, updates to utility and winterization logs, smartsheet, project reports, assisting with property level data gathering, etc. Identifies and recommends property improvements in conjunction with companies operating interests and acts as tenant liaison for all property/lease related matters including providing access as needed to vendors, brokers, etc. Responsible for ensuring functionality of all CCTV systems throughout the portfolio, including design and installation of new systems where required Responds to Commercial tenant maintenance requests as needed or assigned through computerized maintenance management system (CMMS) Assists with the bidding process issuing documents for formal/informal bid, including but not limited to, creating request for proposals (RFPs), requests for information (RFIs), submittals, etc. Assists the Assistant Vice President of Property Management with project execution within the assigned portfolio to ensure projects are completed on time and within budget. Works with tenants assigned project management representatives to coordinate the tenants construction process fit-up/tenant improvements, including but not limited to acting as owners agent to complete Planned Work Applications (PW1s), permit applications, upload and e-sign in for work requests/site safety applications within the NYC DOB Now portal, etc. Reviews property records and makes recommendations for updates to Certificates of Occupancy (C of Os) and Certificates of Compliance (C of Cs). Works with Associate Vice President of Property Management to lay out framework for compliance, including Architect and Engineering costs (A&E) and Construction costs to bring units within compliance. Works with the Compliance Administrator to review, identify responsible party, assign counsel, to mitigate property violations from various governmental agencies, e.g., FDNY, DEP, DOB, DSNY, EPA, DOT, etc. and works with the Legal Department to evidence and issue notices to cure (NTCs) for tenant/lease non-compliance Contributes to the development of detailed Annual Operating Budgets for each assigned property including Capital Expenditures (CAP EX) Assists with the completion of monthly variance reporting and other ad-hoc reports as assigned. Reviews and approves invoices/billing requisitions within the assigned portfolio using the companys accounting software, e.g., Nexus, Prokarma, etc. Works with the Leasing Department in conjunction with the Associate Vice President of Property Management to review Letters of Intent (LOIs) and provide input on feasibility of prospective tenants requests Works with Risk Management to ensure that vendors underlying insurance policies and COIs are on-file and up to date and ensures that all planned and unplanned work is commissioned via fully executed party agreements and contracts data base is maintained in coordination with the contracts department Coordinates with Risk Management on completion of incident reports and subsequent follow up as needed. Proficient in real-estate software to achieve business objectives including MRI, DocuSign, Building-Link, Aware Manager, VTS, SharePoint, Site Compli, etc. Schedules weekly meetings with direct reports, approves PTO requests and assists with goal setting and mid-year and end of year performance process for all direct reports Assist in site inspections for potential acquisitions.
