Administrative Support SpecialistPosition SummaryWe are seeking an organized and detail-oriented Administrative Support Specialist to join a collaborative assistant team. This role provides high-level administrative and operational support in a fast-paced, professional environment, working closely with internal teams and business leaders. The ideal candidate is proactive, discreet, and comfortable managing multiple priorities across time zones.Key ResponsibilitiesProvide day-to-day administrative support in a team-based environment, with flexibility to assist various teams as neededCoordinate domestic and international travel arrangementsProcess a high volume of expense reports and invoices accurately and in a timely mannerSchedule and organize internal and client meetings, including room reservations, catering coordination, guest registration, and material preparationManage complex calendars across multiple time zones, prioritizing meeting requests and coordinating phone and video conferencesPerform general administrative tasks such as invoice submission, time entry, filing, scanning, archiving, mailing, and ad hoc projectsAnswer incoming phone calls and relay detailed, accurate messages while interacting professionally with senior leaders and clientsHandle highly confidential and sensitive information with discretion and professionalismAct as an integral member of the assistant team by staying aligned with current priorities and support needsEnsure adherence to compliance requirements and obtain necessary approvalsRequired QualificationsDemonstrated ability to exercise sound judgment and discretion with confidential informationStrong interpersonal and communication skills (written and verbal)Ability to remain calm under pressure while managing multiple prioritiesHighly organized with exceptional attention to detailProactive self-starter with strong problem-solving and follow-up skillsComfortable providing remote support to leaders and teams in different locationsHigh level of integrity, professionalism, and diplomacyProficiency in Microsoft Word, Excel, PowerPoint, Outlook, and ZoomExperience with expense management platforms such as SAP ConcurTeam-oriented mindset with a positive, collaborative attitudeLocation & Employment TypeLocation: Onsite - Columbus, OHEmployment Type: 6-month contractCompensationPay Range: $19.17 - $22.00 / hourHow to Apply / Next StepsIf you are an experienced administrative professional who thrives in a dynamic, team-oriented environment, we encourage you to apply.
