Prominent Seattle-based principal seeks a motivated, highly organized, and proactive Executive Personal Assistant to oversee and manage day-to-day professional and personal logistics. This role requires a candidate who can operate with a high level of autonomy, ownership, and discretion while supporting the principal across both administrative and personal domains.This position demands strong judgment, independence, and the ability to execute effectively without consistent oversight. The Executive Personal Assistant will serve as a central point of coordination, ensuring seamless organization, efficiency, and execution across the principal's schedule, priorities, and day-to-day operations. Responsibilities span calendar management, travel coordination, administrative support, and personal logistics, with an emphasis on proactive problem-solving and follow-through.The ideal candidate is detail-oriented, resourceful, and capable of managing multiple responsibilities simultaneously while maintaining a proactive, solutions-driven approach. This role is best suited for someone who takes pride in operating behind the scenes, enjoys being hands-on when needed, and is comfortable working in a dynamic, fast-moving environment with shifting priorities.This is a full-time role based in Seattle, operating between the principal's home, office, and on-the-go support. Flexibility for extended hours and responsiveness outside of standard business hours is expected. This is a long-term opportunity offering stability, trust, and the ability to build a meaningful, high-impact working relationship.Responsibilities include, but are not limited to:Heavy calendar organization and management: planning, scheduling, and coordination of business and personal commitmentsManage daily schedule and provide reminders as neededCoordinate all travel arrangements and logistics, including flights, accommodations, itineraries, and real-time adjustmentsServe as a liaison between the principal and internal and external stakeholders, ensuring clear and timely communicationAct as a gatekeeper; manage incoming and outgoing communication across multiple channels with discretion and efficiencyProvide comprehensive personal support including errands, scheduling, and day-to-day life logisticsSupport organization of priorities, to-do lists, and ongoing responsibilities to ensure consistent follow-throughOversee digital organization, including email management, file organization, and general administrative systemsAssist with expense tracking, credit card reconciliation, and coordination with finance as neededConduct research and present clear, concise summaries and recommendationsCoordinate service providers and assist with light property-related logistics as neededSupport scheduling and coordination related to the principal's family as appropriateHandle bookings, reservations, and general online coordinationAnticipate needs and proactively resolve issues before they ariseIdentify inefficiencies and proactively improve processes where appropriateMaintain organization of records, files, and documentation across personal and professional mattersOperate with a high level of discretion, professionalism, and confidentiality at all timesAdditional Executive Personal Assistant responsibilities as needed and requested by the principalRequirements:Fluent in English; exceptional communication skills, both written and verbalExcellent references required from both current and previous employers3 - 7+ years of experience in a similar Executive Assistant, Personal Assistant, or hybrid support roleExceptional organizational skills, strong attention to detail, and the ability to manage multiple priorities effectivelyDemonstrated ability to operate independently with sound judgment and minimal oversightHighly proactive with a strong sense of ownership and accountabilityResourceful and solutions-oriented, with the ability to anticipate needs and resolve challenges efficientlyStrong decision-making skills with the ability to assess situations, act confidently, and follow throughHigh level of emotional intelligence and professionalism in managing sensitive and confidential mattersComfortable working in a fast-paced, dynamic environment with shifting prioritiesTechnologically proficient, including experience with Google Workspace, Microsoft Office, and general digital toolsStrong judgment around prioritization, efficiency, and cost-conscious decision-makingFlexibility in scheduling and willingness to maintain appropriate responsiveness outside standard business hoursOperate with the utmost discretion, integrity, and trustworthiness at all timesProfessional, polished, and highly dependableMust be based in Seattle and familiar with the local areaValid Driver's License requiredAuthorized to work within the United States without sponsorship
