Executive AssistantDirect Hire | $65,000-$75,000Columbus, OhioOur client is seeking an experienced Executive Assistant to support the Infrastructure Leadership Team. This role is designed to remove administrative burden from senior leadership, allowing them to focus on mission-critical and high-impact business initiatives. The Executive Assistant will work closely with leaders to manage priorities, coordinate schedules, and ensure follow-through on key initiatives across the organization.This position requires strong organizational skills, attention to detail, discretion, and the ability to proactively manage competing priorities in a fast-paced environment.Key ResponsibilitiesLeadership & Meeting SupportAct as a meeting facilitator for designated leadership meetingsSend Outlook invitations and manage attendee coordinationPrepare meeting agendas in collaboration with leadershipAttend meetings, capture action items, and document follow-upsPrepare meeting minutes, task lists, and distribute materialsTrack and follow up on completion of assigned action itemsCalendar & Time ManagementMaintain and manage executive calendarsSchedule meetings and resolve scheduling conflictsCoordinate across departments and multiple time zonesProtect executive focus time when appropriateFollow-Up & Task ManagementAct as a follow-up manager to ensure accountability on open tasksTrack tasks related to business initiatives and strategic prioritiesPartner with leadership to monitor progress and completionProject & Administrative SupportAssist leaders with special projects as neededPrepare documents, presentations, and spreadsheetsSupport reporting and data organizationMaintain organized digital filing systemsOnboarding, Events & Team SupportSupport onboarding logistics for new team membersAssist with company events, meetings, and off-site coordinationProvide general administrative assistance to team members as neededExpense & Travel SupportAssist with expense report preparationCoordinate business travel including flights, hotels, and itinerariesSupport on-site visit logistics for customers or partnersCompliance, Security & Credential TrackingTrack employee badging and credential requirementsManage security clearance processes, applications, and renewalsMaintain confidentiality of sensitive and secure informationWork Environment & SchedulePrimarily on-site in an open-plan office environmentOccasional travel may be requiredStandard work schedule: Monday-Friday, 7:00 AM-5:00 PMQualificationsMinimum 5+ years of executive-level administrative support experienceStrong customer service background (internal and external)Experience with office management and administrative operationsHigh school diploma required; business-related degree preferredExcellent written and verbal communication skillsProven ability to manage tasks and projects with a high level of ownershipStrong organizational, time management, and critical-thinking skillsHigh sense of urgency and attention to detailAbility to communicate effectively at all levels of the organizationTrustworthy with confidential and sensitive informationProficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)Experience with remote meeting platforms (Microsoft Teams, Zoom, WebEx, Skype)Compensation & BenefitsCompetitive salary range of $65,000-$75,000Comprehensive health and benefits package401(k) programFlexible time offOpportunity to make a meaningful impact and grow within the organization
