Position SummaryThe Administrative Assistant manages a multi-line phone system and serves as the first point of contact for visitors. The role supports a variety of administrative functions and may expand to include secretarial and administrative assistance to attorneys. This position operates within a highly collaborative team environment.Key ResponsibilitiesAnswer and manage a multi-line phone system and greet visitors in a professional manner.Receive, sort, and distribute mail and courier packages.Provide hospitality support for the office as needed.Monitor office supply inventory and coordinate reordering.Open and close files and maintain organized records and document management systems.Maintain general office and breakroom cleanliness, including managing dishwasher use.Assist attorneys and colleagues with administrative and secretarial tasks as needed.Collaborate with team members and provide support across the office.Adapt to evolving duties and responsibilities based on the firm's needs.QualificationsPrior customer service experience required; law firm experience preferred.Strong administrative and organizational skills.Excellent written and verbal communication skills.High level of attention to detail and accuracy.Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook); experience with document and file management systems preferred.Ability to handle confidential information with discretion.Professional demeanor with the ability to interact tactfully and respectfully with others.Strong work ethic, reliability, and punctuality.Ability to work independently, follow instructions, and meet deadlines.Positive, approachable attitude and willingness to assist team members as needed.The Phoenix Group Advisors is an equal opportunity employer.
