Position OverviewWe are a growing boutique CPA and advisory firm serving high-net-worth individuals, business owners, and families. We are seeking a highly organized, accountable, and client-focused Executive Assistant to provide top-level support to firm leadership while playing a critical role in managing day-to-day client communication and experience.This role requires exceptional attention to detail, sound judgment, and a high level of care. The ideal candidate is proactive, polished, and thrives in a fast-paced professional services environment where client service, responsiveness, and follow-through are paramount.ResponsibilitiesExecutive SupportProvide high-level administrative support to firm leadershipManage executive calendars, scheduling meetings, deadlines, and prioritiesPrepare executives for meetings by organizing materials, agendas, and briefing notesOrganize meeting notes, internal memos, and professional correspondenceRespond to emails and document requests on behalf of executives with professionalism and discretionClient Relationship Serve as a primary point of contact for select high-net-worth individual tax clientsManage day-to-day client communication, including scheduling, document requests, and follow-upsDeliver a high-touch, white-glove client experience with timely, thoughtful, and polished communicationProactively track outstanding items and ensure clients are guided through the tax process smoothlyCoordinate client needs with internal tax, bookkeeping, and payroll teamsAnticipate client concerns and escalate issues appropriately to leadershipOffice & Workflow CoordinationHelp manage workflows, deadlines, and task tracking across the firmMaintain accurate records in client management and workflow systemsEnsure follow-ups are completed and nothing falls through the cracksSupport firm operations, internal projects, and process improvements as the firm continues to growQualificationsBachelor's degree or equivalent professional experience3+ years of experience as an Executive Assistant, Client Services Coordinator, Office Manager, or similar roleExperience in a CPA firm, law firm, financial services, or professional services environment strongly preferredProficiency in Microsoft Office Suite (Outlook, Word, Excel)Exceptional organizational skills with the ability to manage multiple priorities and deadlinesStrong written and verbal communication skills with a polished, professional toneHigh level of accountability, follow-through, and ownershipDetail-oriented with a client-first mindset and high standards for serviceWhy Join UsWork closely with firm leadership in a growing boutique CPA practiceBe a trusted, central figure in both executive support and client relationshipsCompetitive compensation based on experienceOpportunity to grow into a senior operations or client-facing leadership role
