Candidates must be local or willing to relocate.Doyle & Seelbach PLLC is seeking a friendly, detail-oriented, and highly reliable Intake Coordinator & Office Operations Assistant to support the operational backbone of our growing law firm.We're a 35+ person Austin-based litigation firm with a statewide practice spanning personal injury defense, employment, business, construction, and real estate disputes. This role is ideal for someone who enjoys keeping systems running smoothly, staying organized, and being a steady, welcoming presence in a fast-paced professional office.This position sits at the intersection of client intake, firm administration, and day-to-day office operations and plays a key role in ensuring the firm runs efficiently behind the scenes.What You'll Be DoingYou'll wear two key hats"”Intake Coordination and Office Operations Support"”with a strong focus on accuracy, follow-through, and operational consistency. This role is operations-forward"”your work helps the entire firm function efficiently.Intake Coordination Serve as the firm's first point of contact for new matters, including clients, adjusters, and other attorneysCollect and organize intake information and ensure it is accurately entered into firm systemsCoordinate and schedule initial attorney calls and follow up on outstanding intake itemsTrack referrals, assignments, and open items so nothing gets lost or delayedMaintain clear, professional communication and documentation throughout the intake processOffice & Firm Operations SupportGreet visitors and vendors, ensure they are checked in promptly, and maintain a secure, professional office environmentManage incoming and outgoing mail, deliveries, and service of processMaintain organized digital and physical case files and administrative recordsSupport day-to-day office operations, including keeping shared spaces organized and tidyManaging inventory of office supplies (including devices and accessories)Stock and maintain the breakroom"”keeping coffee flowing and snacks ready so the legal team stays fueled Assist the Firm Administrator with internal events, meetings, and team initiatives"”from planning through executionProvide general administrative support that helps firm leadership stay focused on higher-level operational, financial, and growth initiativesWhat We're Looking ForClear, confident, and professional communicator (especially by phone and email)Exceptionally organized and reliable"”you follow through and keep things movingComfortable learning new systems and technology (Microsoft Office; Clio experience a plus)Ability to juggle multiple priorities in a busy professional office without losing detailsOne year of administrative experience in an office setting required What We OfferPay: $21-$24/hour, depending on experienceSchedule: Full-time (40 hours/week) with potential for overtimeBenefits: Paid time off and paid holidays401(k) with employer matchWhy You'll Love Working HereWe're a collaborative, communicative team that values reliability, consistency, and mutual support.
