The ideal candidate will be a role up your sleeve type of individual who will work hard, enjoys helping and talking to people, is professional and reliable.Role OverviewThe Coordinator is responsible for managing the candidate journey from the time a candidate is shortlisted by a Recruiter for the role until the candidate is successfully placed with our client. This role ensures seamless coordination between candidates, Recruiters, Compliance, and clients. The Coordinator plays a critical part in ensuring efficient scheduling, timely approvals, and smooth onboarding while maintaining compliance with client requirements and FCI processes.Key Responsibilities:Candidate ManagementMaintain close contact with candidates from receipt of application from Recruiter, until successful placement with the client.Ensure timely collection of relevant documents from candidates (compliance has scope of checking documents)Ensure timely follow-ups with candidates and seek Recruiter's assistance in following up with unresponsive candidatesTeam Coordination & DocumentationWork closely with Regional Manager, Recruiter, and Compliance team to ensure smooth coordination, effective candidate management, compliance with processes, and timely submission and placement as per recruitment goals.Ensure timely completion of candidate documents review alongside ComplianceRegularly updates internal company documentsFocuses on continuous improvement and ways to improve our processesClient Coordination & ApprovalsSubmit candidates to Client within 12-24 hours of candidate readiness per client requirements.Regular follow up with clients for application approvals, ensuring timely responses.Candidate Screenings & AssessmentsCoordinate with candidates and clients for interviews, simulator assessments, medicals, or other evaluations.Ensure successful review of documents prior to assessments and joining as per client requirementsTimely arrangement of logistics (visa, travel, accommodation) & paperwork in conjunction with client policies and requirements to ensure timely and successful completion of assessments and onboarding.Issues contracts to candidatesCandidate Onboarding & PlacementEnsure all joining documents and logistics (visa, travel, accommodation) are in place before the candidate's start date.Provide comprehensive support to candidate and client prior to joining / onboardingSupport RM with crew management and crew support activities as and when needed.Strategy Development:Prepares Interview Prep Material, FAQs, Relocating Guides and other Brochures to ensure an excellent candidate experienceWrites / edits copy for online job advertisingRenews/updates job postings on website and other platforms as required.Regularly suggests ideas to improve banners, adverts, and outreach strategies.Work with RM to address delays, excessive rejections, or approval bottlenecks, and strategize improvements.Strive to maximize client approval rates for candidate applications.Keeps the company's Applicant Tracking System (JobAdder) impeccably updatedQualifications & SkillsHard working, go-getter, faster learner, works well under pressure.Serves as a leader and example to the rest of the organizationAt least 2 years of relevant scheduling/coordinating/client handling experience.Excellent communication and coordination skillsStrong organizational and time management skillsAttention to detail and ability to ensure document accuracy.Ability to handle multiple tasks under pressure with strict deadlinesProblem-solving mindset with a proactive approach to reducing delays and rejections.Why Join UsBe part of a growing aviation company with new and exciting business lines.Work with leadership and cross-functional teams.Opportunity to grow your skills in operations, coordination, and project support.Collaborative, energetic, and supportive team environment.
