Executive AssistantA leading Chicago-based investment firm is seeking a highly organized and proactive Executive Assistant to support senior leadership while assisting with investor relations and marketing initiatives. This role is ideal for someone who enjoys being both a trusted administrative partner and a key contributor to client communications, marketing materials, and investor-facing initiatives. The position requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities in a fast-paced, professional environment.ResponsibilitiesExecutive & Administrative SupportProvide high-level administrative support to senior executives, including complex calendar management, meeting coordination, and prioritization of daily schedulesCoordinate domestic and international travel arrangements, including flights, hotels, transportation, and detailed itinerariesPrepare and submit expense reports and assist with expense tracking and budget coordinationManage correspondence and serve as a liaison between executives, internal teams, and external stakeholdersAssist with the preparation and distribution of investor communications, including presentations, reports, newsletters, and marketing materialsCoordinate logistics for investor meetings, conferences, and roadshows, including scheduling, materials preparation, and follow-upSupport the development and formatting of marketing presentations, pitch materials, and investor updatesSchedule and coordinate internal and external meetings, ensuring materials and agendas are prepared in advanceAssist in organizing investor events, client meetings, and firm-hosted gatherings, including venue coordination, catering, and logisticsManage conference room scheduling and visitor coordinationMaintain organized filing systems, documentation, and records while handling confidential information with discretionPartner with other administrative staff to ensure seamless office operations and coverageAssist with special projects related to investor communications, marketing initiatives, and firm events as neededQualifications3+ years of experience supporting senior executives in finance, investment management, professional services, or a corporate environmentExperience supporting investor relations, marketing, or client-facing teams is strongly preferred, but not requiredExceptional organizational and time management skills with strong attention to detailStrong written and verbal communication skills and the ability to produce polished materialsProficiency in Microsoft Office Suite (PowerPoint, Excel, Word) and familiarity with CRM systems is a plusAbility to manage multiple priorities while maintaining professionalism and confidentialityWhat We're Looking ForThe ideal candidate is proactive, resourceful, and comfortable operating in a fast-paced investment environment.
