Title: Operational Compliance SpecialistLocation Requirements: Hybrid in AtlantaPosition Summary:The role is responsible for ensuring newly hired Managed Service (Provalus) employees are accurately transitioned from the onboarding module into the HRIS/payroll module and fully set up for day 1 readiness. This role also serves as an independent operational control function, focused on compliance auditing, process documentation, data integrity, and workflow governance across onboarding-related processes.This position partners cross-functionally with onboarding, operations, HR, payroll, and business leaders to identify risk, maintain process consistency, and support scalable, compliant employee setup practices. Day-1 Readiness & Quality ControlMove newly onboarded employees from the onboarding module into the HR and Payroll module within Paylocity.Ensure all required employee fields, system settings, and employment details are accurately configured prior to start date.Validate employee setup data to ensure compliance with internal requirements and downstream payroll, timekeeping, reporting, and system access needs.Review key employment data points, including pay rate, exemption status, manager assignment, work location, cost center, and employment type, prior to HRIS activation.Identify and resolve setup discrepancies before employee start date by partnering with onboarding, payroll, HR, and operations teams.Monitor setup completion and escalate time-sensitive issues that may impact day-1 readiness, payroll, timekeeping, system access, or client compliance.Review & take action against submitted Change Requests for the Managed Services organization.Compliance & Risk ManagementIdentify operational and compliance risks within onboarding and employee setup processes and partner with leaders to implement mitigation plans.Conduct periodic compliance audits and sampling reviews to verify process adherence, setup accuracy, and data integrity.Act as an independent reviewer of onboarding-related activities to promote consistency, accuracy, and compliance across teams.Maintain audit logs and track recurring setup errors, missed fields, and compliance exceptions.Report trends, recurring issues, and corrective action recommendations to leadership.Help establish control checks and approval points for critical onboarding-to-HRIS handoffs.Support root cause analysis for setup failures, compliance gaps, and downstream payroll or timekeeping issues.Support and oversee system movements, policy updates, and process controls for the Managed Services business unit.Process Documentation & Workflow ImprovementOwn and maintain SOPs, checklists, and process documentation for employee setup and onboarding-related system processes.Ensure documentation remains current as systems, client requirements, and internal policies evolve.Recommend workflow enhancements to improve controls, reduce manual errors, and streamline operational processes.Assist with policy rollouts by translating requirements into operational procedures and system actions.Document onboarding, timekeeping, and billing requirements for new client implementations.Maintain an organized repository of client-specific operational and compliance requirements.Provide guidance to teams on documentation standards, required fields, and setup expectations.Systems, Reporting & Operational SupportMaintain data integrity through accurate record updates and system changes across key platforms, including ATS, CRM, and HRIS systems.Partner with internal stakeholders to ensure system data aligns across platforms and supports accurate downstream processing.Maintain reporting or dashboards related to audit findings, setup timeliness, error rates, compliance trends, and service levels.Support VMS account provisioning, user access updates, role modifications, and general administration.Participate in new process rollouts, system testing, and change management efforts tied to onboarding and HRIS processes.Contribute to operational and strategic projects that improve business processes and support organizational goals.Additional responsibilities as needed.Benefits:PTO: 2-3 WeeksFloating Holidays: 2 DaysSick Days: 3 DaysCell AllowanceBenefits
