We are looking for a detail-oriented People & Operations Coordinator to own the day-to-day mechanics of our employee lifecycle and support business operations. You will manage recruiting workflows, run onboarding and offboarding, administer our Rippling HRIS/ATS, and assist with client invoicing. This role is ideal for someone who thrives in a structured yet fast-moving environment and takes ownership.Key ResponsibilitiesOwn Rippling ATS: maintain job postings, manage candidate pipelines, schedule interviews, and ensure timely disposition of all applicantsDraft and post job descriptions across LinkedIn, Indeed, and other channels in compliance with applicable EEOC and state-specific requirementsCoordinate with hiring managers to track requisition status and hiring milestonesMaintain recruiting records in accordance with federal and state retention obligationsExecute end-to-end onboarding in Rippling: provision accounts, assign equipment, enroll in benefits, and collect required new-hire documentation (I-9, W-4, state withholding forms)Ensure I-9 verification is completed within the legally required timeframe; maintain compliant records in accordance with DHS/USCIS requirementsCoordinate role-specific system access and tool provisioning with IT and project leadsConduct new-hire orientation and serve as the first point of contact for onboarding questionsManage offboarding workflows in Rippling: initiate separation, revoke system access, process final pay in coordination with payroll, and issue required notices (e.g., COBRA election notices within required timelines)Collect company assets, execute data security protocols, and archive employee records per retention policyPrepare and distribute separation documentation in compliance with applicable state lawServe as primary Rippling administrator: maintain employee records, org structure, compensation data, and permissionsRun standard HR reporting (headcount, turnover, time-off accruals) and flag anomalies to leadershipSupport annual compliance tasks including ACA 1095 reporting, EEO-1 filing coordination, and state-specific posting requirementsPrepare and issue client invoices on schedule; track outstanding receivables and follow up on overdue accountsReconcile invoice records against project milestones and contract termsCoordinate with project leads to ensure billing accuracy and proper documentation for client auditsAssist with vendor invoice processing as neededRequired Qualifications2+ years of experience in HR administration, people operations, or a related roleHands-on experience with an HRIS or ATS platform (Rippling strongly preferred)Working knowledge of federal employment law fundamentals: I-9/E-Verify, FLSA, ADA, FMLA, COBRA, EEOStrong attention to detail and ability to manage multiple concurrent workflows without dropping the ballComfort operating independently in a remote, async-first environmentProfessional written communication skillsPreferred:Experience supporting invoicing or accounts receivable in a professional services or consulting contextFamiliarity with state-specific employment law in CA, FL, NY, or TNPrior experience at a small or growth-stage company where you wore multiple hatsPHR, SHRM-CP, or equivalent certification (a plus, not a requirement)Work LocationThis is a full-time, remote position. California-based candidates are preferred. Learn more at CompensationAs required by California law, the hourly salary range for this position is $30 to $40. The actual salary paid to an individual will be based on multiple factors, including, but not limited to, specific skills, education, licenses or certifications, experience, market value, geographic location, and internal equity.
