This is a hands-on execution role for someone who thrives on keeping things running smoothly, staying on top of details, and making sure nothing falls through the cracks. You'll be managing logistics, coordinating schedules, handling communications, and making sure the CEO's day runs smoothly.What You'll Actually Do Every DayManage the CEO's calendarSchedule meetings, calls, and appointmentsHandle scheduling requests and conflictsKeep the calendar organized and up-to-dateSend meeting reminders and prep materialsCoordinate with other people's assistants to find meeting timesHandle communicationsScreen phone calls and emailsRespond to routine requests on behalf of the CEODraft basic emails and correspondenceField vendor questions and coordinate responsesManage follow-ups and keep communication organizedCoordinate logistics and travelBook flights, hotels, and rental carsCreate travel itineraries with all detailsHandle last-minute changes and rebookingsCoordinate ground transportation and restaurant reservationsManage travel expense submissionSupport day-to-day operationsPrepare documents and presentationsOrganize files and keep records updatedProcess invoices and expense reportsCoordinate with vendors on routine mattersHandle meeting room setup, materials, and cateringTask and project trackingMaintain task management system for CEO's commitments and prioritiesTrack action items from meetings and ensure follow-throughUpdate project statuses and keep tracking currentSend reminders for upcoming deadlinesMonitor open items and flag anything falling behindProperty management and facilities coordinationCoordinate building maintenance and repairsHandle office supply orders and inventoryManage relationships with building management and service vendorsSchedule and oversee property-related appointments and inspectionsCoordinate office setup, equipment, and facilities needsHandle routine business tasksSchedule vendor meetings and handle basic vendor questionsCoordinate contract signatures and document routingFollow up on pending itemsHandle low-level negotiations (pricing, scheduling, basic terms)Manage subscriptions and service renewalsMaintain filing systems and keep contact lists currentWho You Are1+ years of administrative, assistant, or coordinator experienceExtremely organized with excellent attention to detailStrong written and verbal communication skillsProficient in Microsoft Office and Google WorkspaceExperience with task management systems (Asana, Monday, Notion, or similar)Able to juggle multiple tasks and shifting prioritiesProfessional, responsive, and reliableComfortable working independently once you know what's expectedExperience coordinating with vendors, building management, or facilities preferredWho You'll Work WithOur CEO runs multiple companies including real estate, construction services, technology/BPO, and real estate brokerage.
