Project AssistantLocation: Jacksonville FL / Remote (hybrid - 1/2 days in-person)· Type: Full-time contract, 6-month initial term with extension likely · Compensation: Competitive for early-career, with performance review at month 3About Us:We're an early-stage travel technology company building a planning platform for independent travelers. The product helps people design and book entire trips "” without spending hours assembling information from disparate sources. We're small, moving fast, and shipping our first version this summer.The Role:The Project Assistant is the founder's right hand on day-to-day operations. You'll work directly with the founder and a small engineering team (3 engineers, 1 sales professional), owning the seams between the people, the product, and the work. This role is built for someone who can take ambiguous tasks and turn them into closed loops. You're not going to be told exactly what to do "” you're going to be told what needs to happen, and you'll figure out how. This is a high-trust seat with significant exposure to how an early-stage company actually gets built. The right person will outgrow this title within a year.What You'll Do:Calendar, inbox, and meeting coordination for the founder. Triage what matters, defend focused work time, prep agendas, capture follow-upsProject tracking across the engineering team. Maintain the source-of-truth task tracker, run async standups, follow up on commitments, surface blockers before they become problemsDocumentation and knowledge management. Keep internal docs, strategy files, and decision logs current and findable. Convert verbal decisions into written onesLight research and content QA. Spot-check destination data, validate that what we're shipping matches what we said we'd ship, summarize external research.Vendor and contractor coordination. Manage onboarding, contracts, invoicing, and follow-through with external collaboratorsTravel and logistics. Book founder travel, coordinate offsite logistics, handle expense tracking. One-off operational projects. Launch logistics, fundraising data room maintenance, ad hoc analysis, anything else that needs a competent ownerWhat We're Looking ForRecent graduate (or within 1-2 years of graduation) in marketing, business analytics, communications, business administration, or a related fieldExcellent written communication "” you can summarize a 45-minute meeting in five clear bullet pointsStrong attention to detail and a default toward closing loops rather than leaving them openComfort with ambiguity. You will be given goals more often than instructionsTech-fluent. You don't need to code, but you should be quick with Notion, Slack, Google Workspace, Airtable, and pick up new tools fastA sense of urgency and ownership "” small things done well, on time, every timeCuriosity about technology, travel, or building something from zeroNice to Have, Not RequiredInternship or part-time experience in startup ops, EA work, or project coordinationFamiliarity with the travel industry, consumer tech, or AI productsLight data skills (SQL, spreadsheet modeling, basic analytics)
