This role is intended to be a long-term partnership with significant opportunity to become deeply integrated into both the business and family office operations.About the OrganizationThe family office oversees a diversified portfolio that includes:Real estate investments and operationsPrivate equity and direct investmentsSports and entertainment-related investmentsOperating businessesFamily office and trust administrationThe office environment is collaborative, entrepreneurial, and highly team-oriented, with many employees having 10+ year tenure.Position OverviewThe Executive Assistant will serve as the right hand to the President & CEO, providing high-level executive and administrative support while acting as a trusted gatekeeper, strategic partner, and liaison across internal and external stakeholders.This individual will help manage the day-to-day flow of information, priorities, scheduling, communications, reporting, and special projects while maintaining the highest degree of confidentiality and professionalism.This is a fully onsite role based in Beverly Hills.Key ResponsibilitiesExecutive SupportManage an active and complex calendar, appointments, and meetingsCoordinate domestic and international travel arrangementsPrioritize competing requests and resolve scheduling conflicts proactivelyManage logistics across multiple business and personal commitmentsAssist with family-related scheduling and coordination as neededPrepare presentations, reports, and meeting materialsCommunication & Relationship ManagementServe as a strategic gatekeeper and liaison on behalf of the executiveScreen calls, emails, and correspondenceCoordinate communication with advisors, vendors, consultants, and external partnersMaintain absolute discretion regarding confidential financial, legal, and family mattersCommunicate professionally with high-profile stakeholders and family membersAdministrative & Operational SupportMaintain physical and digital filing systemsAssist with invoice approvals and submission to accounting/business management partnersParticipate in weekly coordination meetings with outside accounting/business management firmsUpdate and maintain reporting documents and Excel-based tracking schedulesAssist with special projects and process improvementsCoordinate office coverage and collaboration with other executive assistantsInvestment & Asset CoordinationAssist with maintaining investment and asset tracking documentationSupport reporting related to real estate, family office assets, and investment holdingsMaintain and organize art files and related documentationHelp manage schedules, records, and organizational systems for various family office assetsTechnology & Presentation SupportPrepare PowerPoint presentations and executive materialsAssist with website updates and coordination with vendors when neededUtilize AI and technology tools to improve efficiency and organizationMaintain strong working knowledge of Outlook, Excel, PowerPoint, and WordIdeal Candidate ProfileThe ideal candidate is:Exceptionally organized and detail-orientedProactive and anticipatoryCalm under pressure and adaptableHighly trustworthy and discreetProfessional yet personableResourceful and solutions-orientedComfortable operating in a fast-paced family office environmentLooking for a long-term opportunityThis role requires someone who naturally takes ownership, communicates confidently, and can quickly learn the preferences and working style of the executive.Qualifications5-10+ years of Executive Assistant experience supporting C-suite executives, principals, or family officesPrior experience in a family office, private investment office, real estate, finance, or professional services environment strongly preferredAdvanced proficiency in: Outlook, Excel, PowerPoint, WordStrong written and verbal communication skillsExperience handling confidential information with discretionStrong organizational and project coordination abilitiesAbility to manage multiple priorities simultaneouslyStable career history with demonstrated long-term tenure preferred
