Most work originates from active insurance claims following property damage events, requiring strong coordination and responsiveness.The local team is small and tightly coordinated (approximately 8 employees), with a strong emphasis on communication, operational efficiency, and execution under time-sensitive conditions.Position SummaryThe Office Manager will serve as the operational hub of the organization, ensuring seamless coordination between clients, insurance partners, and field technicians. This role is critical due to a recent vacancy and will directly impact day-to-day workflow, scheduling, communication, and job execution.The ideal candidate is highly organized, adaptable, and comfortable working in a fast-paced, service-oriented environment where priorities shift based on active insurance claims and restoration needs.Key ResponsibilitiesOperational CoordinationSchedule and coordinate restoration jobs based on incoming insurance claimsDispatch technicians for pickups, deliveries, and field supportCoordinate logistics for materials, equipment, and job executionClient & Partner CommunicationServe as the primary point of contact for incoming calls and inquiriesCommunicate with insurance adjusters, contractors, and property managersProvide timely updates between office staff and field techniciansAdministrative SupportMaintain job files, documentation, and internal recordsAssist with insurance claim documentation and workflow trackingSupport general office administration and operational organizationSystems ManagementUtilize franchise-provided internal job management systemsWork within insurance platforms such as Xactimate and carrier-specific portalsEnsure accurate data entry and job lifecycle trackingCandidate ProfileHighly organized with strong attention to detailExcellent communication skills (internal and external)Ability to manage multiple priorities in a fast-paced environmentComfortable coordinating across field and office-based teamsStrong problem-solving and operational mindsetExperience in dispatch, office coordination, restoration, construction, or insurance-related environments preferredCompensation & BenefitsBase salary: ~$60,000401(k) plan availableMedical insurance (company covers ~75%)Two weeks paid time offWork Schedule & EnvironmentFully onsite roleHours: 7:30 AM - 3:30 PMSmall team environmentBackground check and professional references required
