We're a small, fast-moving AI product development company building production systems for clients in education, healthcare, and more. We have a growing dev team and more work than we can manage without someone keeping the operational side tight. We need someone to keep the machine running so the founder can stop being the bottleneck on everything operational.What You'll Actually DoYou'll be the person who makes sure nothing falls through the cracks. We have multiple active client projects, a dev team that needs to stay unblocked, and a founder whose calendar and inbox are a war zone. Your job is to bring order to that.Day to day, that means keeping our project board organized and current, running async check-ins with developers to catch blockers early, drafting client status updates, chasing down invoices, prepping meeting agendas, and generally being the person who follows up on everything so the founder doesn't have to.You'll work directly with me (the founder) and sit between the dev team and our clients. You're managing the system that keeps work visible and moving. When something is stuck, late, or unclear, you're the one who flags it before it becomes a problem.You Need To BeOrganized to the point where people comment on it. You don't lose track of things.A strong written communicator. You'll be drafting emails, updates, and internal notes constantly.Comfortable learning new tools fast. We use Google Chat, Slack, Claude, an internal project tool, and a bunch of other stuff. You don't need to know them yet, but you need to pick them up quickly.Proactive. If you see something that needs doing, you do it. You don't wait for instructions.Comfortable working with developers without being intimidated by technical conversations. You don't need to code, but you need to understand what "blocked on an API issue" means well enough to communicate it to a client.Scrappy and resourceful. Small company, lots of moving pieces, no playbook. You'll help write the playbook.Genuinely curious about AI and excited to use it as part of your workflow.Someone who has failed, learned from it, and still shows up ready to make an impact.What We're NOT Looking ForPeople who need every task spelled out for them.
