We're a small, collaborative team that moves quickly, takes ownership of our work, and treats every client interaction as a chance to make benefits feel less complicated.About the RoleWe're hiring an Executive Assistant to support our Managing Director across the full range of his work. This is a hands-on, high-trust role. You'll be the person he leans on to keep things moving, to handle the details he can't get to, and to make sure nothing falls through the cracks.The work is mostly business with some personal support layered in. It spans client service, carrier coordination, internal projects, and the day-to-day operations of running the business, along with calendar, travel, and communication support. No two weeks look exactly the same, and the right person will see that as a feature, not a bug.What You'll DoManage the Managing Director's calendar and scheduling across business and personal commitmentsKeep the Managing Director organized and ahead of what's comingHandle inbound and outbound communication via email and phone on his behalfSupport client service work including enrollments, terminations, member changes, and portal setupCoordinate with carriers across both group and individual productsMove projects forward across commissions, individual products, and other initiativesRun audits and reconciliations as needed to keep accounts accurateSupport internal FBS operations including HR, vendor management, and general office administrationAssist with booking and coordinating travel What We're Looking ForStrong written and verbal communication.You can speak with carriers, clients, and vendors and represent the Managing Director well in both written and live conversation.Highly organized and proactive.You spot what needs to happen before being asked, and you close loops without reminders.Comfortable with technologyand quick to learn new platforms.Familiarity with AI tools(ChatGPT, Claude, or similar) is helpful, or a genuine willingness to learn. We use AI across the business and want someone who's open to working that way.Discretion and judgment.This role touches sensitive business, client, financial, and personal information.
