The Legal Department Executive Assistantreports directly to FIA's General Counsel and Chief Legal Officer and works at the direction of other lawyers of the Department. Executive Assistant ResponsibilitiesProvide administrative and scheduling support, including setting up internal and external meetings, and conference calls, including on occasion taking unofficial notes and following up on action pointsAssist the General Counsel in preparing agenda and meeting materials for FIA Board of DirectorsPrepare final comment letters for submission (i.e., edit and proof the text and send drafts to members for approval) and submit final version when readyPerform rudimentary legislative and regulatory researchSchedule travel for U.S. members of legal departmentAssist with scheduling and verification of all legal-related training for FIA employeesMaintain the files of the legal departmentAssist with FIA contract management by helping the lawyers manage the review, storage and administration of all company contractsReview, proof, and distribute internal and external departmental correspondencePrepare daily Federal Register and Press Release email and other regular Division communications as directed and in coordination with L&C Division Program ManagerPrepare expense reports for travel and other expense-related activities for the legal departmentAssist in preparation for outside speaking engagements for members of the legal departmentAssist with internal department maintenance of legal budget, tracking of invoices, and marking budget expenditures to internal systemsLiaise with other departments within FIA as needed for special projects and schedulingSupport L&C Division and FIA Webinars as neededSupport Documentation Library Manager and Head of Legal, Europe to provide continuous member services from the platformFill in for the President's assistant when absent: assist the President with personal calls, appointments, and travelWork with the Corporate Secretary on all Board and Executive Committee mattersAssist with answering FIA main phone line and general office needs in support of office manager.QualificationsProficient in Microsoft Office Suite and online research; College degree preferred;strong interpersonal and organizational skills; interest in financial and regulatory policy; indication of strong work ethic and attention to detail; ability to handle multiple tasks proficiently; ability to handle communications with senior government and business executives; experience in paralegal-type work beneficial.Salary Range: $60,000 - $76,000Interested candidates should send a resume to careers@
