We are seeking a highly motivated Asset Management Administrator to join our Asset Management team and support our mission.About the Role:The Asset Management Administrator provides administrative and analytical support to the Asset Management team across a portfolio of commercial real estate investments. This entry-level role plays a key part in keeping asset management operations organized, accurate, and on schedule by maintaining property and investment records, supporting reporting and compliance processes, tracking critical dates, and coordinating information among internal teams, property managers, and third-party partners.This position is well suited for an individual eager to build foundational experience in real estate asset management within a fast-paced investment environment and gain exposure to portfolio operations, financial reporting, and cross-functional collaboration.Key Responsibilities:Portfolio & Data Administration Maintain and update asset management trackers and databases, including rent rolls, lease abstracts, CAM reconciliations, CapEx logs, and compliance trackers. Collect, organize, and archive property and investment documentation such as leases, loan documents, estoppels, SNDAs, insurance certificates, and vendor agreements. Support monthly, quarterly, and annual asset management reporting by compiling data and backup materials. Track operating budgets versus actuals and flag variances for Asset Manager review.Lease & Tenant Administration Maintain lease abstracts and critical date calendars, including rent steps, expirations, renewals, and notice periods. Track tenant compliance items such as insurance certificates and required documentation. Coordinate lease-related documentation (amendments, renewals, assignments) for internal review and execution under Asset Manager direction. Assist with preparing tenant notices and communications as directed. Reporting & Analysis SupportCompile property- and portfolio-level data related to occupancy, leasing activity, rent collections, operating expenses, and capital projects. Assist with preparing materials for internal asset reviews, investment committee meetings, and leadership updates. Conduct basic market and property research at the direction of Asset Managers. Ensure reporting materials are accurate, complete, and delivered on schedule.Transaction & Finance SupportAssist with acquisitions, dispositions, and financings by organizing due diligence materials and managing data rooms. Track loan compliance requirements and reporting deadlines. Prepare documentation for Asset Manager review and lender submission. Coordinate routine information requests among property managers, lenders, and internal teams.Vendor & Property Management Coordination Serve as a point of contact for property managers and vendors on routine administrative matters. Maintain internal logs of key contracts and track renewal and expiration dates. Assist with invoice routing and approval workflows in coordination with Accounting and Finance. Support contract and vendor documentation management across the portfolio.General Administrative Support Schedule and coordinate meetings, conference calls, and property visits. Prepare agendas, take meeting notes, and track follow-up items. Manage electronic filing and document storage in accordance with company standards. Provide general administrative support to the Asset Management team as assigned.Qualifications:EducationHigh school diploma or equivalent required.Experience 1-3 years of administrative or coordinator experience; prior exposure to real estate, property management, asset management, finance, or professional services preferred but not required. Technical SkillsExperience with asset or property management software; Yardi experience highly preferred.Proficient working with spreadsheets and reporting tools to track assets, lease, and financial data.
