Position OverviewWe are seeking a polished, proactive, and highly organized Executive Office Coordinator to serve as the face of the office and ensure a seamless workplace experience for employees, executives, clients, and guests. The ideal candidate takes ownership of the office environment, anticipates needs before being asked, and thrives in a fast-paced professional setting supporting executive-level operations. Success in this role requires strong executive presence, attention to detail, hospitality mindset, and the ability to independently manage multiple office priorities. The right person is polished, resourceful, service-oriented, and naturally takes pride in maintaining a high-quality, welcoming office environment.Key ResponsibilitiesExecutive & Guest ExperienceServe as the first point of contact for executives, clients, vendors, and visitors Create a polished and welcoming guest experience from arrival through departure Manage visitor check-in, badges, conference room readiness, and hospitality services Support executive meetings with room setup, catering coordination, refreshments, and presentation readiness Maintain professional front desk coverage and ensure reception areas remain organized and presentation-ready at all times Office Operations & Workplace ExperiencePerform daily office walkthroughs to ensure cleanliness, organization, and operational readiness Proactively manage conference rooms, kitchen areas, copy rooms, and shared office spaces Monitor and maintain office, kitchen, and event supplies without requiring oversight Coordinate deliveries, mail, and incoming packages Support workplace experience initiatives, employee events, quarterly meetings, and office activities Assist with office décor, seasonal setups, and creating an engaging office environment Administrative & Executive SupportProvide administrative support across departments as needed Coordinate scheduling, meeting logistics, and internal communications Support Sales and Leadership teams with event coordination and office preparation Maintain confidentiality and professionalism when interacting with executives and guests Facilities & Vendor CoordinationCoordinate with building management and vendors regarding office maintenance and service needs Ensure kitchen, conference rooms, and common areas remain fully stocked and functional Monitor catering orders and event preparation to ensure high-quality execution and appropriate quantities Required Experience5+ years of experience in executive reception, executive administration, workplace experience, office coordination, or hospitality-focused office support Experience supporting executives or leadership teams in a professional corporate environment Experience independently managing office operations and workplace coordination responsibilities Skills & Success TraitsExecutive presence and professional communication skills Highly polished, organized, and detail-oriented Self-starter who identifies needs without being directed Strong sense of ownership and accountability Hospitality and service-oriented mindset Able to multitask and prioritize in a fast-paced environment Comfortable interacting with executives and senior leadership Strong Microsoft Outlook, Word, Teams, and calendar coordination skills Reliable, proactive, and attentive to office presentation and employee experience
