Responsibilities of the Events Coordinator:Support the Director in planning and coordinating military ceremonies, corporate events, and private gatheringsUtilize tools like Event Temple, Excel, and other software to organize event details and track progressCreate detailed operational plans, schedules, and run-of-show documents to ensure smooth event executionCollaborate with vendors to finalize details, timelines, and deliverablesManage reservation systems and maintain accurate client and event databasesMonitor budgets, track expenses, and ensure timely collection of paymentsPrepare post-event reports to evaluate success and identify improvement opportunitiesCoordinate with catering, technology, and operations teams to meet event requirementsWork with the marketing team to position the Museum as a top-tier event venueEfficiently schedule spaces for both internal and external activitiesSupervise event setup, execution, and breakdown, ensuring all plans are followed preciselyQualifications of the Events Coordinator:1-2 years of experience in activity coordination or a similar roleA bachelor's degree in Marketing, Hospitality Management, or a related field is preferred but not requiredProficiency in management software (such as Event Temple) and the Microsoft Office SuiteStrong organizational and time management abilities, with a talent for multitasking and meeting deadlinesExceptional communication and interpersonal skills for effective collaboration with clients and teamsKnowledge of multimedia and AV equipment is a plus
