L'Alliance New York has an extensive Language Center offering hundreds of French classes for all ages, a French Library, and year-round cultural programs ranging from cinema and performing arts to visual arts and social event programs.Position SummaryThe Events Supervisor at L'Alliance New York supports the marketing and sales of the venues, budgeting, calendar management, event management, and other areas of operations. ResponsibilitiesPrimary ResponsibilitiesAssist the Events Operations Manager with coordinating event logistics. Support all aspects of multi-scale events for clients & for L'Alliance NY events from inception to completion. Work closely with other team members to ensure that setup of facilities is in accordance with client needs (tech, staffing & building requirements). Responsibilities can include: ? Discuss with clients the planning and execution of their events.? Coordinate with the Production team to cover technical requirements.? Coordinate set up, breakdown, and run of the event as needed. Assist Events Manager with the marketing and renting of the venues & catering packages to corporations, PR firms, and other organizations.As needed, assist in responding to rental inquiries for our spaces and creating, editing, and sending contracts and invoices to rental clients. Update financial information on spreadsheets for record-keeping.Coordinate with other L'Alliance NY Departments to promote venues with L'Alliance NY's constituencies. Work to advance the image of events at L'Alliance NY as one of the primary contacts for the implementation of clients' events alongside the Events Operations Manager.Support the Rental Department's budget and forecasts by saving all expenses accordingly and keeping a record of all purchases. Keep track and ensure timely payment of all deposits and settlements.Assist with Monthly Expense Reports, managing all receipts with correct class and codes.Orders:? Order food for LANY meetings (Team/Board)? Order items such as glassware, linens, etc, for rental events or LANY events. ? Purchase any alcohol and beverages needed for receptions. ? Purchase any miscellaneous supplies and oversee vendors.Team Management ResponsibilitiesMeet weekly with all parties involved to oversee schedules and planning of the events for upcoming weeks. ? Maintain master schedules for all L'Alliance NY & rental events in Artifax.Maintain and edit the Usher/Tech schedule in Google Workspace.Oversee the Usher Team and schedule FOH staff (Ushers) for every event on and off site, coordinate last-minute covers and schedule outside staffing if needed.? Manage and document hours to calculate sick time accrued.? Create and send out detailed instructions to the FOH staff for all events.Please note that the above is not an exhaustive list of duties, and you will be expected to perform different tasks as necessitated by your role within the organization and the overall business objectives of L'Alliance New York.Requirements and Skills: A minimum of 2 years of Event Management required.Proficiency in Microsoft 360, Google Suite, and other media-based software.Must be able to work some nights and weekends depending on the schedule.Must have strong organizational and leadership skills, a proactive and self-starting initiative, a team player mentality and be dedicated to creating a safe, respectful work environment for the staff, clients, artists and patrons.
