Position SummaryThe Client Service Specialist is responsible for supporting client relationships and facilitating internal team collaboration efforts.StructureFull-time, non-exempt positionReporting Location: 920 Lincoln Ave, San Jose, CA 95125Reporting Schedule: 6:30am - 3:00pmSalary Range: $33.65/hr to $43.50/hrFunctional Roles and ResponsibilitiesEnd-to-End Client Meeting ManagementMeeting scheduling and confirmation, calendar coordination with internal and external entitiesMeeting agenda & packet preparation - agenda, supporting documentsTake comprehensive notes and photos during meetingPost-meeting follow-up - packet update and distributionDelegate and communicate follow-up action items internally and with external vendorsClose the loop on all pending itemsClient Deliverable DevelopmentLandscape maintenance proposalsPresentation decksSimple QuickBooks proposalsProperty service/operations mapsNewslettersWork Order & Job ManagementManage work order email address, tracking sheet and all work order communication with clients and internal teamEnsure all work orders are complete, communicate with customerPlant and material ordering for small enhancements and installationsAccounts receivable managementMarketing & Client RelationsIndustry membership managementCoordination and registration of industry eventsSupport of development and execution of educational programmingDevelopment and execution of client relations eventsSocial media supportGiveaway inventory management in San Jose officeOffice AdministrationOrdering, management and organization of supplies for San Jose officeLead facilities management for San Jose office - vendor management, etc.Success BehaviorsHas a positive attitudeTakes initiative to improve performanceProvides creative solutionsHas proactive approach to their job, stays organizedTeam player Physical RequirementsThe physical demands described here must be met by an employee to successfully perform the essential functions of this job.
