Natural Resources Council of Maine/ Executive Assistant/ Augusta, MaineWe are working with our client, Natural Resources Council of Maine (NRCM), the state's leading non-profit organization dedicated to protecting, restoring and conserving Maine's environment, with an Executive Assistant to the CEO opportunity available to join the team in Augusta, Maine.The Executive Assistant provides support to the office of the CEO to help facilitate the CEO's ability to lead the organization, including support of staff experience and board engagement. The Executive Assistant position requires the ability to anticipate needs, think critically, and provide a high level of professionalism and confidentiality.Please include a cover letter along with a resume to apply!Benefits of the Job:Competitive base salary from $60-65k commensurate with experienceFully in office 5 days per weekComprehensive benefits including 100% employer paid medical for individualEmployer HRA contributions403b retirement with 5% matchPTO, paid holidays, Maine days, sick and short-term disability leave.Requirements for the Executive Assistant:5+ years in an Executive Assistant role supporting a CEO and engaging with boards of directors and high net worth constituents.Excellent written and interpersonal communication skills.Strong administrative skills, including strategic calendar management.Strong proficiency in Microsoft Office (Word, Excel, Outlook and PowerPoint). Familiarity with features of Adobe Professional and Dropbox is a plus.Ability to prioritize and manage many tasks simultaneously.High degrees of accuracy, efficiency, and reliability are essential.Capable of working with confidential information with a high level of discretion.Ability to work with minimum supervision, exercise good judgment and diplomacy, and take initiative.Understanding of executive office functions and keen awareness of organization dynamics.Prior experience using a constituent information database for fundraising or marketing purposes. Blackbaud/Raiser's Edge or Every Action experience preferred.Prior experience in a non-profit, higher education, or health care setting where confidentiality and constituent information privacy is a top priority.Experience working in a fast-paced office environment with the ability to meet deadlines and anticipate obstacles.Responsibilities of the Executive Assistant:Works in close collaboration with the CEO to complete a broad variety of administrative tasks that manage the effective functioning of NRCM Office of the CEO.Provides sophisticated calendar management for the CEOSet up internal and external meetings, proactively resolving scheduling conflictsResponds to requests from staff, board members, members/donors, and community leadersCoordinate travel arrangements and suggest events, conferences, and meetings of potential interest to the CEOAnticipates the CEO's needs in advance of meetings and prepares all presentations, materials and documents required and coordinates speakers or hosts as neededServes as the point person for board member inquiries and ensures timely follow up.Arrange logistics for board meetings, retreats, and social activities.Manages and documents information flow of CEO contact with internal and external constituencies to ensure relevant staff and board members are apprised of conversations and next steps.Proofreading, researching, collecting, and analyzing information as needed. Partners with Communications department prioritizing NRCM media mentions of interest to the CEO.Completes and files the annual NWF Affiliate Application.Maintaining NRCM's formal board records, in consultation with the Secretary of the Board and Senior Director of Finance and Administration.Drafts minutes for all Board and Staff meetings, and other committees as assignedMaintain positive and productive working relationships with all NRCM staff members and also with NRCM's members, external partners, policymakers, and the general public.Participate in organizational meetings and activities as requested, such as monthly staff meetings, training, and ad hoc planning committees.The Natural Resources Council of Maine (NRCM) is a leading environmental advocacy organization dedicated to protecting, restoring, and conserving Maine's environment for current and future generations.
