Ad Operations CoordinatorLocationHoboken, NJ (Hybrid)TeamClient Services, Operations GroupAbout the RoleWe're looking for a highly organized and detail-oriented Ad Operations Coordinator to join our Client Services team. In this role, you'll help ensure the successful onboarding and support of our clients, while coordinating internally to keep campaigns and operations running smoothly. You'll play a key part in managing the flow of information and deliverables between internal teams, clients, and partners. Success in this position looks like maintaining exceptional client relationships, supporting seamless campaign execution, and optimizing our internal systems and processes. This role is essential to the operational heartbeat of our agency.ResponsibilitiesClient & Campaign SupportSupport new client onboarding, ensuring all documentation is accurate and completeCoordinate across internal teams to set up and maintain client accounts in FreeWheelMaintain detailed client records and provide ongoing administrative and technical supportBuild and sustain strong client relationships through responsive and thoughtful communicationCampaign ManagementCollaborate with Account Management, Media Services, and Product teams on campaign executionParticipate in client meetings, input sessions, and planning discussionsAssist in developing strategic presentations, proposals, and reporting deliverablesManage trafficking, launch, and pacing workflows in coordination with ProductMonitor campaign pacing, KPIs, and trends across digital media channels including web, social, OTT, and moreAssist in budget tracking, invoicing, and client purchase order managementInternal Operations & ToolsManage the structure and workflows within our CRM/Trafficking (FreeWheel)Organize and optimize our project management (Asana), internal communications (Slack), and shared file systems (Google Drive, Dropbox)Help build and refine internal processes that support company-wide operationsQualificationsBachelor's degree in Marketing, Communications, Business, or related field1+ years of experience (internship or professional) in a digital/traditional agency or similar settingFamiliarity with client management, project coordination, and media campaignsProficient in Google Suite (Docs, Sheets, Slides, Drive) and comfortable in a Mac environmentUnderstanding of media planning and campaign performance reportingHighly organized with strong attention to detail and time management skillsExcellent verbal and written communication skillsTeam-oriented with a collaborative spiritPreferred Qualifications1-3 years of experience in paid media across digital, traditional, and social channelsPrior client-facing or administrative experienceExperience or exposure to platforms like FreeWheel, The Trade Desk, DV360, Facebook Ads Manager, or Google Ads
