Whether it's supplying a unique product that customizes the look and feel of their ride, providing thousands of educational videos for the DIYer or leveraging user generated content to inspire even the most experienced owner, we are obsessed with ensuring we reach as many like-minded gearheads across the globe.Under the direction of the Vice President of Fulfillment & Production and the Director, Fulfillment, Integration & Automation, the Executive Assistant & Office Manager performs a variety of highly responsible, confidential, and complex administrative and office management duties.Year 1 is going to be about:Coordinate schedules and access calendar of the VP of Fulfillment & Production, Director of Fulfillment, & the Senior Fulfillment Leadership to optimize their time and to facilitate the exchange of informationCreate and send out agendas for and participate in Fulfillment meetings and record meeting notesMaintain running list of open items for follow up with managersCode all credit card receipts for the VP of Fulfillment & Production and the Director of FulfillmentOwnership of all travel arrangements for Fulfillment Leadership teamPlanning and organization of regular Fulfillment team meetingsOversee all quarter end tasks, inclusive of quarterly goals, reviews, and skills assessmentsReview of daily e-mail correspondencePlan, organize, and execute company sponsored events, setting budgets and venueManagement of documents, SOPs, and records within the Fulfillment shared team's folderSupport the overseeing of the Training Team, onboarding new employees, promotions, and forklift trainingOversee day-to-day office functions, including welcoming visitors, managing office supplies, and managing breakroom suppliesOversee the remote admin team - leveraging them for daily repeatable tasksOwnership of Fulfillment Safety. Inclusive of collecting and maintaining all safety documentation, hosting our safety committee meetings, and maintaining our safety wallPoint of contact for all Kansas vendor visits & management of Facilities calendarOversee taking and editing the new hire photos and badges printingManagement of Maintenance Calendar, KS First Aid Kits, Fastenal Machine, Office Supplies, Breakroom Supplies, PPE, Coffee/Vending, and Cleaning vendorCoordinate with other Office Managers on cross department functionsWe can't skip over some of the specific skills and experience we know are a "must" to be successful. So, we need you to have:Education: Bachelor's degree in business or related field; or an equivalent combination of education and experience.Experience4+ years of experience in an executive assistant or office management roleAdvanced proficiency in Word and ExcelHigh level of integrity and confidentialityHighly organized with a proven track record of efficiencyComputer proficientExcellent organizational skills with the ability to handle multiple tasks simultaneouslyOral and written communication, interpersonal skills.Ability to prioritize workload and meet deadlines.
