Ebert Engineering Inc. is a civil engineering firm specializing in water and wastewater engineering. We are currently seeking an Office Manager to work in our Skippack, PA office. Candidates should be self-motivated, detail-oriented with experience in administrative and office support activities as well as experience in human resources. Responsibilities:Invoicing/BillingAccurate and timely processing of invoices.Identifying discrepancies and resolving billing issues. Accounts Payable/ReceivableMaintain all accurate and organized accounts payable and receivable records, spreadsheets and files. Process client's electronic transfers. Monitor and follow up on past-due accounts. Process and verify all client invoices for accuracy and approval prior to payment. Make bank deposits and control petty cash.PayrollProcess weekly payroll with an outside payroll firm and American Funds 401k contributions for employees in an accurate and timely manner. Maintain payroll records, including deductions and benefits, and ensure compliance with federal, state, and local regulations. BenefitsHandle and administer health, dental, vision, and 401k benefits including benefit inquiries, enrollments, and changes in a timely manner. Company InsuranceWork hand in hand with our insurance agent to maintain and renew the company's liability and workers' compensation policies and endorsements. Provide clients with the requested certificates of insurance. GeneralProvide general office support including management of office supplies, maintaining office files and documents, distribution of external and internal mail and FedEx, ensure outbound mail and FedEx is processed timely, and correspondence. Answer multi-line telephone system and direct calls accordingly. Responsible for document reproduction and related tasks (i.e. copying, binding, scanning) for employees. Prepare and coordinate reports and engineering submissions packages. Assist and provide documentation to the company's accountant and perform additional tasks as needed. Assist in year-end financial reporting and audits. Must be deadline-oriented, self-motivated and able to handle multiple assignments with minimum guidance.Professionalism and good interpersonal skills to effectively communicate with clients, government agencies and contractors.Good organizational skills.
