Job Title: Executive Administrative AssistantType: Full-Time // On-Site (with infrequent remote work)Overview:Process Alliance seeks an individual to serve as an Administrative Assistant for the Senior Lead Team, which consists of Vice Presidents and the executive leadership team. The person in this role will manage calendars, schedule meetings, arrange travel logistics, plan events, run and manage reports, create presentations, and generally remove administrative tasks from Senior Leaders.Key Responsibilities:Executive SupportManage calendars, schedule meetings, and coordinate travel arrangements for multiple Vice PresidentsPrepare and edit correspondence, reports, presentations, and other documentsServe as the primary point of contact between executives and internal/external stakeholdersMeeting & Event CoordinationOrganize and facilitate meetings, including preparing agendas, managing post-meeting information, and tracking action itemsCoordinate logistics for on-site and virtual meetings, conferences, and client visitsAdministrative OperationsMaintain accurate records, files, and databasesProcess expense reports in a timely mannerAssist with special projects and initiatives as assigned by leadershipCommunication & LiaisonDraft professional emails and communications on behalf of executivesEnsure timely follow-up on key priorities and deliverablesQualifications / Necessary Skills & Experiences:3+ years of administrative experience supporting senior leadership, preferably in engineering, manufacturing, or consulting environmentsEquivalent experiences in managing a diverse set of requirements, clients, and time zones while driving tasks to completionDesire to help Process Alliance grow in a sustainable mannerBeing a team player demonstrated by being humble, hungry, and smartStrong organizational and time-management skills with the ability to prioritize multiple tasksExcellent written and verbal communication skillsProficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with project management tools is a plusAbility to handle confidential information with discretionProfessional demeanor and strong interpersonal skillsDetail-oriented with a proactive, problem-solving mindsetAbility to work independently and collaboratively in a fast-paced environmentAbility to work quickly and develop solutions to problemsProficient with Office 365 Suite: Teams, PowerPoint, Outlook, Word, ExcelPreferred Skills/Experiences:Strong leadership skillsExperience with Acumatica ERPGood problem-solving skillsAbout Our Culture:At Process Alliance, we strive to be a better model for how problems are solved, and solutions are delivered.
