This role is critical in keeping our lab and office running smoothly every day. In a lean, fast-paced biotech start-up environment, the Lab Ops/Admin Associate is a hands-on problem solver who ensures our scientists and leadership can focus on science and strategy. The role blends administrative, lab operations, and office support, with room to grow into broader responsibilities as the company scales.Key ResponsibilitiesOffice & Administrative BackboneAct as the first point of contact for facility and maintenance needs.Ensure office and communal spaces run seamlessly "” tidy, welcoming, audit-ready.Lab Operations EnablerMaintain and track lab inventory, order consumables proactively.Organize, clean, and prepare shared lab spaces for smooth daily use.Schedule equipment service/maintenance and follow up on issues.Manage SDS tracking and compliance logs.Support lab staff with forms, documentation, and preparation for audits/inspections.Finance & Data Entry SupportRegister and track invoices, purchase orders, and expense reports.Upload payment files and support approval workflows.Assist with small cash handling and reconciliation.People & Culture SupportHandle onboarding/offboarding basics (forms, access).Help coordinate team events, meetings, and workshops that reinforce culture.Tools, Systems & Knowledge BaseUpdate directories, and lab/admin tools.Spot inefficiencies and propose improvements.Start-Up SpiritPitch in across functions where needed; no task is too small or too big.Serve as a connector between science, operations, and leadership.Take ownership of problems, follow through with solutions, and think one step aheadEducation & ExperienceMinimum: High school diploma or equivalent.Preferred: Associate's degree or some coursework in business, administration, or a scientific field.Plus: Bachelor's degree, especially for those aiming to grow into lab management or technical roles.Experience:Exposure to lab and/or office environments (biotech/science preferred).Comfortable juggling multiple priorities in a lean team.Tech-savvy: quick to learn digital tools.Track record of reliability, attention to detail, and initiativeWhat Success Looks Like in the First 6-12 MonthsLab and office operations run smoothly without constant oversight.Scientists and staff can rely on you as a go-to problem solverProcesses are documented and simple, reducing friction.You've suggested at least 2-3 improvements to make operations faster or smarter.You are known for a "start-up mindset": proactive, flexible, resourceful, and execution-driven.HAYA Therapeutics is an Equal Opportunity Employer committed to fostering a diverse, inclusive, and equitable workplace where all individuals feel valued and empowered.
