Position Title: Real Estate Legal AssistantLocation: Bayonne, NJJob Type: Full-Time (In-Person)Classification: Non-ExemptStart Date: ImmediateAnnual Salary: $60,000 - $75,000OverviewWe are seeking a Real Estate Legal Assistant to provide essential support to our Bayonne office. This role is ideal for a highly organized professional with strong communication skills who can ensure smooth workflow across all aspects of residential transactions. The Legal Assistant will act as a reliable point of contact for clients and support attorneys and paralegals in the coordination of closings and related administrative functions.Key ResponsibilitiesMaintain organized residential real estate files from contract through post-closing, including checklists and binders.Act as a primary client contact: respond to calls/emails, provide updates, and ensure a professional client experience.Draft routine correspondence, client letters, and transmittals under attorney/paralegal supervision.Coordinate closings with clients, lenders, realtors, and title companies, ensuring deadlines and logistics are met.Handle administrative tasks such as scanning, formatting, redlining, copying, and preparing closing packages.Manage mail, FedEx/UPS shipments, and electronic filings for timely document delivery.Update case management systems, calendars, and databases with accurate transaction details.Oversee daily office operations, including ordering supplies, maintaining equipment, and coordinating facilities with headquarters.Provide logistical support for visiting attorneys, including workspace setup and IT coordination.Assist with post-closing: organize executed documents, track recording receipts, and distribute client copies.Maintain confidentiality and professionalism when handling sensitive client and transaction information.QualificationsAssociate's degree or equivalent experience; prior legal or real estate administrative background preferred.Minimum three (3) years of administrative experience in a law firm, title company, or real estate office.Familiarity with residential real estate transactions strongly valued.Proficiency in MS Office Suite (Word, Excel, Outlook).Strong written and verbal communication skills with professional client-facing presence.Excellent organizational and time-management abilities; able to manage multiple closings under tight deadlines.High level of reliability, discretion, and attention to detail.Compensation & BenefitsSalary range: $60,000 - $75,000 (commensurate with experience).Eligibility for discretionary year-end bonus and merit-based increases.Comprehensive benefits package including medical, dental, vision, life and disability insurance, 401(k), paid time off, and additional voluntary programs.
