We serve industry leaders with unparalleled dedication and expertise in all market sectors.Role DescriptionThe Administrative Assistant is an integral part of the administrative team in executing projects. The Administrative Assistant is responsible for all administrative aspects of the account(s) including but not limited to: time keeping, tracking logs, change order support, payroll support, additional work orders logs, union relationships onbehlf of the General Superintendent and manpower organization. The Administrative Assistant is also responsible to support the account and project management teams with client relationships, account development, and internal and external communications. It is expected that the Administrative Assistant communicate effectively with all team members. Essential Job Functions · Assist in the issuance of change orders. · Confirm timesheets for all associated and assigned field labor through CDR COINs.· Process New Hire Paperwork · Participate in the updating of detailed logs for projects including work authorizations and overtime.· Track the progress incoming work orders and execute assignments. · Communicate all incoming work requests to Account and Project Managers and General Foreman. · Change Order coordination with accounting department. · Assist with past due collections and receivables for project teams. Escalate issues to Account and Project Managers. · Assist with development and tracking of manpower and forecast look ahead for overall manpower. · Communicates effectively and escalates to the PM and/or the Account Executive for advice when unforeseen problems occur on jobs. · Support the Project Management and General Foreman in the overall management of the account(s) · Support the account and project management team in customer and contractor interactions · Establish and maintain relationship with local unions call centers · Assist with obtaining work authorizations, i.e. Purchase Order, Work orders. Assist with past due collections and receivables Maintain presence at field office(s) for incoming calls and client visits when needed · Manage field office supplies for managed account locations· Comply with all company policies and procedures QualificationsOperations and Administrative Assistance skillsStrong Communication and Customer Service skillsExperience in General Administration tasksExcellent organizational and multitasking abilitiesProficiency in Microsoft Office SuiteAbility to work independently and collaboratively in a fast-paced environmentPrior experience in the electrical or construction industry is a plusHigh school diploma or equivalent; additional qualifications in office administration are an advantageEssential Physical Abilities · Travel to field office location time from time· Able to navigate NJ office buildings and construction sites time from time· Access typical office equipment, access file cabinets Education/ExperienceRequired: · 3-5 years of related work experience · High School diploma Preferred: · Associates or Bachelor's degree
