Job Description

The Inventory Support Coordinator provides operational, administrative, and cross-departmental support to the Shipment & Inventory Manager. This role ensures seamless execution of inventory management, merchandise entry, special orders, and vendor communications across all Razny Jewelers locations. The coordinator is responsible for maintaining accuracy in inventory systems, supporting team processes, and cross-training in other operational areas as needed to ensure continuity and efficiency.Responsibilities:Inventory SupportAssist with company-wide inventories and spot checks; reconcile discrepancies, update Excel reports, and follow up with managers.Support inter-store transfers, including organization, notification to stores, and physical distribution of merchandise.Maintain accurate records for all stock itemsMerchandise Entry & System ManagementAssist with returns to vendors (RTVs), repairs, and repricing of merchandise, coordinating with marketing and stores as needed.Special Orders & Vendor CoordinationAssist with memo diamond requests, communicate with vendors, and follow up on appointments with associates.Support vendor communications regarding shipments, certifications, and minor discrepancies.Departmental Operations & Administrative SupportManage departmental email inbox, routing communications and flagging urgent requests.Assist with scheduling for vendor trainings and trunk showsPrepare materials for vendor visits, trade shows, and internal meetings.Document all processes and maintain organizational systems to support manager and team workflows.Cross-Training & CollaborationCrosstrain across merchandise entry, inventory management, special orders, and repairs to provide operational coverage as needed.Collaborate with sales, marketing, and repair teams to ensure accurate pricing, inventory tracking, and timely order fulfillment.Support projects and initiatives across departments under guidance from the manager.Qualifications1-3 years of experience in inventory, operations, or administrative support (luxury retail or jewelry experience preferred).Strong attention to detail and organizational skills.Proficiency in Microsoft Excel and Google and willingness to learn internal systems (Point of sale system).Excellent written and verbal communication skills.Ability to manage multiple priorities in a fast-paced, collaborative environment.Key AttributesDependable, proactive, and solution oriented.Collaborative team player with strong follow-through.Flexible and adaptable to support cross-training needs across multiple areas of operations.Passion for luxury retail and operational excellence
