As an Administrative Assistant, you will play a vital role in supporting our consulting team and overall office operations. This position is perfect for an individual who thrives in a fast-paced environment, is detail-oriented, and has a strong commitment to excellence.The ideal Administrative Assistant has 3+ years of experience as an Admin supporting strong leaders/Executives. The Administrative Assistant will be supporting the staff who are making the grants and providing capacity. The Administrative Assistant also ideally has either experience or a passion for nonprofit, philanthropy or grantmaking! The ideal Administrative Assistant also has experience creating reports and summaries, project management experience, as well as calendar management and event planning! The top three skills that are key for this role are:a. Supports planning, organizing and managing projects, including: tracking and managing of timelines; coordinating with staff, partners and grantees; drafting and disseminating documents; and maintaining organized records.2. Ensure data entered (self and others) remains accurate, complete and consistent, ensuring its reliability and trustworthiness.3. Conducts research and analysis related to potential initiatives and projects.This opportunity starts off on a temp to hire basis receiving AMAZING benefits as a contractor (75% paid for employee, 25% for dependents). as well as 401K and sick time! This is a fully onsite position, working 36 hours/week, Tuesday-Friday!Why join us?4 DAY WORK WEEK!!Amazing benefits even as a contractor: 75% paid for employee and 25% for dependents401k & Match, as well as 401K as a contractorPTO and Paid Holidays; sick time as a contractorGROWTHAmazing organization and leadership!!Job DetailsResponsibilities:The Consulting Administrative Assistant will be responsible for a wide range of tasks, including but not limited to: Providing high-level administrative support to our consulting team, including preparing and editing documents, managing calendars, scheduling meetings, and coordinating travel arrangements. Greeting visitors, answering incoming calls, and managing mail and deliveries. Ordering office supplies and maintaining inventory. Assisting with the preparation of reports and presentations. Supporting the grantmaking process, including researching potential grant opportunities, assisting with grant applications, and maintaining grant records. Contributing to the planning and execution of special projects and events. Liaising with various internal and external stakeholders, including clients, vendors, and community partners. Qualifications:The ideal candidate for the Consulting Administrative Assistant position should possess the following qualifications: A minimum of 5 years of experience in an administrative role, preferably within a nonprofit or consulting environment. Proficiency in the Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook. Exceptional written and oral communication skills, with the ability to communicate effectively with diverse audiences. Strong organizational skills, with a proven ability to manage multiple tasks and deadlines simultaneously. Detail-oriented, with a high degree of accuracy and attention to detail. Strong problem-solving skills, with the ability to anticipate needs and proactively address issues. Experience with grantmaking is strongly preferred, including researching and applying for grants, managing grant records, and reporting on grant outcomes.
