We are searching for a full-time Operations Manager and join our close-knit team at Amico Lane, a fast-growing property management startup based in Washington D.C.Our company is looking to hire someone with a strategic mindset, a team-player, and who hasa customer-first mentality.Your primary responsibility will be to manage a portfolio of our condominium associationclients. As the operations manager, you will prepare and set the budget, lead an annualmeeting with the shareholders, and ensure the maintenance activities and projects around theproperty are completed timely and efficiently. You will have a team working closely togetherwith you to accomplish the client's objectives, freeing up time for you to lead some of thelarger maintenance projects and ensure quality control of clients' deliverables.Since you are part of a growing company, you will occasionally wear multiple hats, inparticular, innovating and documenting various operational processes. We believe in what we do and how we can serve our clients, and we need a natural project manager to support our clients as we continue to grow.Amico Lane exists within the property management industry, but we are seeking to disrupt our space. We believe that there's a better way to serve condominium owners and board associations, and we are motivated to lean into innovation and change.To serve our clients well, we need to successfully manage a large number of moving pieces and complicated processes for them. We are growing and excited about how our team will continue to expand!ResponsibilitiesMaintenance and Repairâ— Project manage a variety of maintenance activities, including routine maintenance,repairs, emergency response and very large projectsâ— Track and report updates internally and externally to clientsâ— Conduct on-site property inspections a few times per yearâ— Problem solve maintenance issues and meet vendors on-site at the propertiesâ— Own SOPs for certain maintenance processes and innovate on them to create a betterclient experienceProperty Enhancementâ— Provide recommendations to the Board regarding property improvements and necessary repairs including recommendations for establishing priorities among various projects to be done â— Establish a project plan for large projects/capital improvementsâ— Manage to project plan to ensure milestone deadlines are met and completed withinbudgetCondo Association Administration and Financial Management â— Manage and onboard a portfolio of clientsâ— Maintain meticulous records for each property in the portfolioâ— Prepare management reports for the Board of Directors including site inspectionreports, monthly reports, budgetary details, and annual meeting materialsâ— Prepare budgets for several real estate properties and present them to the board ofdirectorsâ— Lead the associations' annual meetings and help the teams make efficient decisionsaround their properties' maintenance needsâ— Ability to review, interpret and ensure compliance with condominium associationdocumentationVendor Managementâ— Liaise directly with vendor techniciansâ— Build and maintain strong relationships with both new and existing vendors to expandour resources and foster long-term partnershipsâ— Facilitate competitive bidding for contracts as required by Association contractsRequired Skills & Experienceâ— 2-5 years of relevant work experienceâ— High School Diploma, GED or equivalent (College degree preferred)â— Industry certification preferred (e.g., Certified Manager of Community Associations,Association Management Specialist)â— The ability to work in DCâ— The ability to be on call after hours one week per month, monitoring the emergencyphone line on a rotating schedule with the teamâ— Top notch communication skills - both written and verbalâ— A track record of proven excellence in providing customer serviceâ— Real estate experience of being, or having been, a homeowner in a condominiumassociation is a plus but not requiredâ— Spanish skills are a plus but not requiredâ— Proficient skills in Excel, PowerPoint, and Google Workspace Productsâ— Able to work independently, anticipate problems, and implement effective solutionsNecessary Traitsâ— You have a passion for providing excellence in customer service and enjoy cultivatingrelationshipsâ— You are committed to following established Standard Operating Proceduresâ— You are comfortable meeting with clients and maintenance/repair contractors in person,being proactive in your communication with them, asking questions and negotiatingwhen neededâ— You're committed to defending deadlines and ensuring you stick to schedulesâ— You're GREAT at juggling several things at once, and can keep yourself (and others)organized in a fast-paced environmentâ— You thrive in a complex environment and you love being a part of a teamâ— You are rock solid reliableâ— You consistently offer solutions and look for additional ways to support your teamâ— You treat the business as if you owned itâ— You like building community, in particular in DC neighborhoods, and meeting newpeopleâ— You have superb attention to detail and don't need reminders to complete assignmentsWhat We Offerâ— Healthcare benefitsâ— Opportunity to learn and grow quickly within a start-up growth environment that hasestablished structure and successâ— Opportunities to grow in your career within the company â— Opportunity to make a significant difference for condo owners in managing their oftenmost expensive asset, their homeâ— Extensive experience with the latest tech and software solutions in propertymanagementâ— Modern office space in the vibrant Dupont Circle neighborhoodâ— Hybrid work schedule perks (remote work is currently offered on Mondays and Fridays)
