Together, the company operates over 2,000 stores across travel convenience, specialty retail, duty free, and food & beverage in travel venues, including airports, commuter hubs, landmarks, and tourist destinations, serving millions of guests each year.Purpose:The Executive Assistant to the Chief Executive Officer (CEO) position is responsible for providing exceptional administrative leadership and support to the CEO for North America. In addition, the position is responsible for representing the office effectively, professionally and diplomatically when interacting with internal and external constituents.Essential Functions:Acts as "gatekeeper" for the CEO by scheduling and managing calendar, and setting up appointments and managing changes to the scheduleMaintains travel schedule and makes travel arrangements to include international reservations, car rentals, hotel and airlines. Evaluates options and decides on pricing and logistics matters. Prepares relevant travel background material.Arranges, prepares and manages key business meetings and events sponsored by the CEOManages additional administrative responsibilities to include but not limited to organizing files, handling packaging, mailing documents and other duties as assignedHandles telephone coverage, screens calls and messages.Prepares expense reports using Concur, processes invoices, and investigates payment inquiries and budget variancesProduces well written and visually appealing documentation, memos, and business lettersReporting Relationship: The Executive Assistant reports to the Chief Executive Officer for North America.Minimum Qualifications, Knowledge, Skills, and Work Environment: Education and Experience: The combination of education and professional experience must exceed 7 years:In a technical role: Requires 7 years of administrative experience supporting high-level executivesA bachelor's degree in a program related to the functional area can count for 3 of the 7-year requirementIn the industry: 3-5 years of Hospitality, F&B and/or Retail experienceSpecialized Training:Training that leads to strong knowledge of Microsoft OfficeExperience with Concur strongly preferredSpecialized Skillsets/Competencies/Traits:Requires ability to maintain the highest level of professionalism and confidentialityRequires excellent organizational skills and strong attention to detailBusiness acumen and has the mindset required to understand the long-term implications of decision-making to advance the organization's goalsDemonstrated history of understanding the needs of the business, stakeholders, the employee population, and individual circumstancesLocation: Requires in-person attendance five days a week at the North America Support Center in Bethesda, Maryland.Disclaimer:All job requirements are subject to change to reflect the evolving position requirements or to reasonably accommodate individuals with disabilities.
