A leading NY-based investment firm is seeking a highly skilled and experienced Executive Assistant to support its Washington, D.C. office. This role will support a dynamic team of professionals, ranging from junior associates to senior leadership. The ideal candidate will have at least 8 years of administrative experience within the Private Equity, Venture Capital, Hedge Fund, or Mergers & Acquisitions sectors.Key ResponsibilitiesExecutive SupportComplex Calendar ** Schedule and manage meetings across multiple time zones, ensuring seamless coordination with internal teams and external stakeholders.Travel * Arrange domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries.Expense * Prepare and process expense reports accurately and in a timely manner.Administrative * Assist with document preparation, meeting materials, correspondence, and ad hoc administrative duties as needed.Team * Act as a liaison between team members, ensuring effective communication and alignment across varying seniority levels.Office Coordination & OperationsSupply & Inventory * Order and maintain stock of office supplies, paper, snacks, and other essentials to ensure a well-equipped workplace.Reception & Guest * Serve as the first point of contact for visitors, providing a professional and welcoming office environment.Office * Ensure common areas, conference rooms, and kitchen spaces are clean, stocked, and well-maintained.Vendor & Facilities **** Liaise with building management and external vendors to oversee office maintenance, repairs, and deliveries.Qualifications8+ years of executive administrative experience supporting teams in Private Equity, Venture Capital, Hedge Funds, or Mergers & Acquisitions.Proven ability to handle complex calendars and manage frequent, last-minute changes with grace and efficiency.Experience coordinating global travel and preparing detailed itineraries.Strong organizational skills with a keen eye for detail and a proactive approach to problem-solving.Exceptional communication and interpersonal skills, with the ability to build relationships at all levels.Comfortable working in a fast-paced environment while balancing multiple priorities.Team-oriented mindset with the ability to work independently when needed.Salary- $115,000-$120,000 w/ benefitsSchedule- Onsite- Monday-Friday
