SUMMARYThe Marketing Coordinator in the Silicon Valley divisional office is responsible for assisting with the planning, collaboration, and preparation of business development materials (response to RFQ/RFPs, introductory packages, presentation/ interview materials) under the direction of company leadership and senior marketing personnel. The position is extremely deadline-driven and requires a strong self-started mentality, strong ability to solve problems, strong collaboration skills and the ability to multitask. The role interfaces with internal staff and project staff as needed in the proposal/interview preparation process and day-to-day responsibilities.ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.General DutiesCreate timeline for development and preparation of business development or marketing materials.Assist the Regional Manger with client outreach and curation of leads and tracking.Proposals & PresentationsPrepare and produce responses to client requests (RFQ/RFPs), introductory packages, and interviews.Coordinate and create responsibility matrix to work with project teams to meet client deadlines.Update and create resumes, experience lists, and other pieces requested for proposals.Assist with content creation, design, and gathering data for responses.Review/edit narratives, cover letters, etc.Marketing CollateralCreate and design marketing collateral to support company initiatives and business development efforts.Coordinate, prepare, and submit for industry awards.Design, order, and manage marketing swag and other marketing inventory.Create and update advertising materials.Develop, organize, and maintain media/marketing folders.Collaborate with project partners (Owner, Architect, etc.) to get professional photography taken.Business DevelopmentJoin industry organizations and be an active member/participant.Assist with researching client contacts to identify and prioritize potential markets and customers.Assist with preparation and implementation of business development action plans for targeted markets.Assist regional leaders and business development manager with Identifying, qualifying, and securing new business opportunities through personal networks, attendance at industry Forums, and industry research.Assist with the development of new business opportunities and maintain of key accounts/client relationships.Customer Relationship ManagementAssist with management of customer / marketing database (CRM) consisting of client contacts, opportunity/project information, and employee information.Create and maintain tracking log of proposals.EventsCoordinate events: sponsorships, fundraisers, golf tournaments, conferences, and trade shows/career fairs.Create promotional materials related to events.Create and maintain event tracker.Attend events with clients, architects and colleagues.Assist in end of year holiday and gift process.Assist with staff meeting presentation development.QUALIFICATIONSAbility to interact and communicate effectively with individuals at all levels of organization. High level of interpersonal skills to handle sensitive and confidential situations. Self-direction and initiative to effectively perform the functions of this position. Exceptional attention to detail and organizational skills. Strong written and verbal communication skills. Practical proficiency in MS Office products (Word, Excel, PowerPoint, Outlook) and Adobe Creative Suite (InDesign, Photoshop, Illustrator). Experience with designing corporate collateral and developing series of advertisements. Understanding of CRM technology and troubleshooting skills. Experience with Deltek preferred but not mandatory. Willingness and ability to get the job done on-time and with high standards of quality.Educational and experience requirements include: Associate's degree in marketing, graphic design, communications, or equivalent is preferred. Preferred experience working in AEC/CRE industry. Understanding of marketing fundamentals.
