In this role, you'll assist Financial Advisors who are dedicated toexcellence in client service. You'll be responsible for a range of administrative, operational,and client support tasks that ensure the smooth operation of our business and provide abest-in-class experience for our clients.This is a full-time, in-office role located in Orem, Utah.Frequently Asked QuestionsWhat is a day in the life of an Administrative Assistant?• Open new accounts and manage documentation requirements using DocuSign• Follow up on securities transactions and process money transfers using WealthboxCRM and other financial programs• Handle incoming and outgoing client communications (calls, texts, emails)• Meet and greet clients and visitors to the office• Foster and support client relationships through proactive communication andproblem-solving• Maintain physical and online filing systems using Google Drive• Create and modify documents using Microsoft Office (Word, Excel, PowerPoint)• Prepare financial and statistical reports using Excel or Sheets• Support staff in assigned project work and general clerical duties (photocopying,mailing, shipping)• Arrange and participate in meetings, conferences, and project team activities• Ensure adherence to company policies and procedures• Assume other administrative and office management duties as assignedWhat will I need to thrive in this role?• Bachelor's degree or equivalent work experience• 2+ years of experience as an administrative/operations role, preferably in a financialservices firm or in a compliance role• Strong clerical knowledge including file management, document preparation, andoffice procedures• Exceptional oral and written communication skills• Excellent follow-up and follow-through capabilities• High level of organization, attention to detail, and ability to multitask• Strong problem-solving and time management skills; ability to prioritize effectively• Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Windows-basedsoftware• Familiarity with document management tools like Nitro and Adobe• Familiarity with CRM systems such as Schwab, Wealthbox, or similar (preferred)• Understanding of investment business, products, or services (preferred)• Professional, positive demeanor and appearance; personable and approachable• High degree of confidentiality and discretion• Self-motivated and able to work independently and collaborativelyWhat does high performance look like?• Timely and accurate processing of client requests and account operations• Proactive identification of potential administrative issues and prompt resolution• Effective communication with clients, advisors, and team members• Consistent contribution to building and improving office operations and client-service processes• Maintenance of highly organized and up-to-date records and documentationWhat is the team like?You will work closely with Financial Advisors and other administrative professionals toprovide seamless service to our clients.
