Reporting directly to the senior attorney, the Office Manager is responsible for managing the administrative operations and supporting a productive, well-organized office environment. This leadership role ensures smooth daily functioning, provides oversight of non-legal staff, and promotes a culture of professionalism and collaboration. The Office Manager serves as the primary liaison between the Orange County office and central administrative departments, playing a vital role in maintaining consistency in office practices, compliance with organizational policies, and delivery of high-quality internal support.Key ResponsibilitiesOperational Oversight & LeadershipSupervise day-to-day office functions in partnership with senior legal leadership to uphold workplace efficiency and moraleDirect non-attorney personnel, including support staff; collaborate with HR on recruitment, onboarding, and resolution of personnel mattersApply relevant employment laws and company policies in all supervisory activitiesManage confidential information related to staff, clients, and internal operations with discretionEvaluate staff performance, prepare performance documentation, and provide coaching and feedback as neededApprove staff time entries to ensure payroll accuracy and timelinessParticipate in budget development and monitor expenditures for the locationAdministrative Support ManagementEnsure attorneys have timely and effective administrative support through appropriate delegation and assignment of tasksAdjust staff responsibilities based on workload, availability, and individual strengthsCoordinate temporary or overflow coverage by working with other offices or shared resourcesCommunicate staff coverage plans to attorneys daily by 9:00 a.m.Host regular meetings with support staff to communicate updates, provide guidance, and foster continuous improvementInterdepartmental CoordinationCollaborate with facilities personnel on office enhancements, relocations, or general maintenance; serve as the office's point of contact for property management concernsSupport IT initiatives and provide on-the-ground assistance to technical staff as requiredAssist marketing teams with logistics for events, content creation, and attorney materials, including bios and presentationsHelp track and document continuing legal education compliance by coordinating with the library teamCulture & EngagementOrganize team-building events and staff recognition activities to enhance morale and engagementPromote participation in firmwide initiatives and activities led by human resources or leadershipMaintain open, constructive communication with attorneys, staff, and administrative teams across officesFoster a collegial, respectful, and professional office atmosphereQualificationsAt least five years of experience in an office management or operations role, ideally in a law firm or other professional services settingStrong leadership and organizational abilities with a focus on prioritization and task delegationExcellent communication skills"”both written and verbalProficiency with Microsoft Office (Word, Excel, PowerPoint); experience with document management systems (e.g., iManage) is a plusStrong attention to detail and high-level writing and editing skillsDemonstrated discretion, reliability, and professionalism
