Lauren DeBellis Aviv and Aja Pardini, the Partners behind the Firm, have been recognized as Super Lawyers and by Who's Who's Legal as Most Regarded Partner / Global Elite Thought Leaders in The Americas.We are seeking a highly organized, detail-oriented, and dependable Personal Assistant to support Lauren in managing three primary areas: law firm administration, household and family logistics, and real estate property management. The person will also assist Aja in her personal needs. This role is designed for someone who can be flexible, takes ownership, and exemplifies responsibility. The ideal candidate is an individual who values precision, dependability, thoroughness, and completing tasks to the highest standard. This person understands the importance of clear and direct communication. Applicant needs to thrive working on diverse experiences.ResponsibilitiesLegal Administrative Support:Handle administrative law firm tasks such as document organization, calendar management, tracking important dates (in person court appearances, deadlines, filing deadlines, appointments).Monitor office supplies and in office admin tasks as needed.Ensure law firm is stocked with food and drink (lunch, snacks, coffee, tea, etc.)Household Administrative Support:Book doctor appointments, prepare forms, upload documents for appointments, ensure appointments are properly in calendar and blocked to ensure executive is available. Complete forms and applications for appointments and extracurricular activities.Manage errands including ordering items online or buying in person, returns, school activities and fundraising, service scheduling (housekeeping, contractors), and appointment setting.Maintain calendars and track important school and extracurricular deadlines.Bring children (ages 14, 10, and 9) to events as needed (this will be only occasionally).Real Estate Management Support:Assist with operational needs of a 4-building real estate portfolio.Visit properties as needed (estimated 1x/mo), document site status with photos, and meet service providers (properties are in Brooklyn, Manhattan, Beacon and Poughkeepsie, NY).Help manage maintenance requests, vendor scheduling, and tenant communication, communicate with city agencies, utility companies, Section 8, as needed.Update tenant notes and stay on top of lease expirations and renewals.Key Qualities We Are Looking ForHigh level of organization and attention to detail.Ability to anticipate needs and independently solve problems.Strong written and verbal communication skills.Comfort managing multiple projects and deadlines at once.Professional, discreet, and trustworthy.A "completer" personality "” someone who loves finishing tasks accurately and efficiently.Core Values Embedded in Every TaskYou take initiative and complete tasks without requiring reminders.Accuracy, pride in work, and thoroughness are non-negotiable.You own your projects and outcomes, proactively communicating progress and any obstacles with executive.RequirementsPrior experience in administrative support, real estate management support, or executive assistance a plus but not required.Strong tech proficiency (email management, Google calendar, Dropbox).Clear communicator; availability to respond promptly to time-sensitive tasks during standard working hours.Character references will be required.If you are a focused, task-driven professional who values organization, responsibility, and excellence "” we would love to hear from you.
