Overview:We are looking for a resourceful, detail-oriented, and calm-under-pressure Personal Assistant to support the Chief Operating Officer in both personal and professional matters. This individual must thrive in a fast-paced, high-stress environment and remain composed while juggling multiple priorities. The ideal candidate is proactive, organized, and flexible, with a strong ability to anticipate needs and act with urgency, precision, and discretion.Responsibilities:• Personal Errands & Support: Manage a wide range of personal tasks including running errands, overseeing home organization, assisting with personal events that may require working after-hours and weekends, managing deliveries, managing vehicles, and maintaining organization in the COO's household.• Ad Hoc Local Travel Support: Be available to travel on short notice, including the Orange County area and day trips to Los Angeles for errands or support-related tasks.• Schedule & Calendar Management: Coordinate and manage the COO's personal and professional calendar, ensuring he is on time for his meetings throughout the day, minimizing conflicts, and keeping him informed of any last-minute calendar events or requests.• Travel Planning: Arrange travel logistics for both personal and business purposes, including flights, accommodations, ground transportation, Passport and documentation organization, and craft highly detailed itineraries keeping in mind the COO's preferences.• Household Management: Assist the COO & his wife with organization, home upkeep, and coordination of services/vendors to ensure a well-maintained and efficiently run residence.• Communication: Serve as a liaison for internal and external communications, maintaining professionalism and confidentiality at all times.• Task Prioritization: Assess and prioritize tasks in real time; respond quickly and calmly to shifting priorities and unexpected challenges.• Event and Meal Coordination: Help coordinate personal events and meals as needed, including the COO's daily food pickup or service support for in-home or office-based meetings.Required Skills & Qualifications (must-haves):• High school diploma or GED (Bachelor's degree preferred).• At least 3 years of experience in a personal or executive assistant role.• Ability to remain calm and composed in high-stress and urgent situations.• Exceptional organizational skills and attention to detail.• Strong communication and time-management abilities.• Discretion and trustworthiness when handling confidential information.• Valid drivers license and reliable transportation.• Willingness to work flexible hours, including after-hours and occasional weekends.Preferred Skills & Qualifications (nice-to-haves):• Experience in household management or similar personal assistant roles.• Ability to work autonomously and make informed decisions quickly.• Familiarity with productivity tools including Google Workspace, Microsoft Office, Slack, and Teams.• Experience with high-profile or executive-level support preferred.Working Environment & Compensation:$80,000 - $85,000 annually (DOE)Gas and mileage reimbursement for all offsite duties and errandsHybrid work environment (corporate office and COOs residence)Occasional evening or weekend support requiredMonday - Friday (6:00 am to 3:00 pm)Benefits:PPO Healthcare CoverageVision and Dental Insurance401(k) plan with a 4% matchPTO+ sick pay + paid holidaysPaid Parental LeavePet insuranceGas and mileage reimbursement for all offsite errandsWe are an equal opportunity employer and do not discriminate on the basis of race, color, religion, sex, age, national origin, veteran status, disability, sexual orientation/gender identity, or any other characteristic protected by applicable law.
