We are seeking a dynamic individual to manage the day-to-day operations in a Biotech environment. This is an exciting and unique opportunity to support our Pharmaceutical Development teams office and lab space. The successful candidate will be able to thrive in a fast-paced, ever-changing environment, and manage competing priorities, while maintaining a professional demeanor with employees. In this critical role, you will serve as the primary interface between our company and its service providers, vendors, and consultants. This position requires great attention to detail, organization, and professionalism, and the ability to maintain an efficient business environment.ResponsibilitiesGreet and check in visitors with positive, helpful attitudeMaintain workplace security by issuing visitor badges and monitoring visitor logsInform employees of visitors arrivalsAnswer phones in a professional manner and route calls or take messages as necessarySort and distribute mail, packages, and deliveriesHandle outgoing mail and packagesProvide excellent customer serviceStock and keep inventory of snacks and office suppliesMaintain clean, organized reception and lobby area and copy roomsProvide facilities support during eventsComplete required trainings and compliance courses as assignedManage the Office Management vendors; including contracts, certificate of insurance, purchase orders, invoicing, schedules, vendor relations & communication, and triaging communication to Operational Teams as neededCoordination with Facilities for all work orders to ensure work is completed in a timely fashionAbility to work on tight deadlines, and manage changing prioritiesPrepare, document, and distribute all meeting materials for projects. Ensure projects adhere to frameworks and all documentation is maintained appropriatelyAct as the Liaison amongst the Administration Team and FacilitiesRequirementsBachelors degree, an Associates with 1+ year experience, or, extensive experience in the EA and project coordinator role.1+ years experience as a Project Administrator or similar role desiredProficiency in Microsoft Office SuiteExcellent attention to detail, organized and methodicalAbility to quickly produce quality project meeting notesAdept to organize large amounts of data, and deal effectively with repetitious workExceptional verbal and written communication skillsSkilled at prioritization, multi-tasking and excellent organizational skillsMaintain confidentiallyFlexible Hours
