We are seeking a highly organized and proactive Administrative Assistant to provide direct support to a C-level executive. This mid-level role is ideal for a candidate who has strong administrative, communication, and coordination skills, with the ability to handle sensitive information and operate in a fast-paced environment. The ideal candidate is detail-oriented, resourceful, and able to anticipate the needs of executive leadership to ensure operational efficiency.Key Responsibilities:Provide high-level administrative support to a C-level executive, including managing calendars, scheduling meetings, and coordinating travel arrangementsPrepare correspondence, reports, presentations, and other confidential materialsScreen and prioritize emails, phone calls, and meeting requests on behalf of the executiveAct as a liaison between the executive and internal/external stakeholdersCoordinate and prepare for meetings, including agendas, materials, note-taking, and follow-up tasksManage executive expense reporting and reimbursement processesAssist with project management tasks, tracking deadlines and deliverablesMaintain filing systems (digital and physical), contact lists, and other organizational toolsHandle confidential information with discretion and integritySupport other members of the executive team and office operations as neededQualifications:Education:Bachelors degree in Business Administration, Communications, or a related field (required)Experience:3-5 years of administrative or executive assistant experience, preferably supporting senior leadership or C-level executivesExperience in a fast-paced, professional environment with strong multitasking abilitySkills:Excellent written and verbal communication skillsHigh proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)Strong organizational skills and attention to detailAbility to prioritize and handle multiple tasks with minimal supervisionDiscretion and professionalism in handling sensitive or confidential informationFamiliarity with tools like Zoom, Slack, Teams, or project management software a plusPreferred Attributes:Polished, professional demeanor with a service-oriented mindsetStrong judgment, initiative, and a proactive approach to solving problemsExperience in supporting cross-functional projects or executive-level initiativesAble to build relationships and communicate effectively at all levels of the organizationFor immediate consideration please send your resume All qualified applicants will receive consideration for employment without regard to race, color, national origin, age, ancestry, religion, sex, sexual orientation, gender identity, gender expression, marital status, disability, medical condition, genetic information, pregnancy, or military or veteran status.
