Job Summary:The Payroll Coordinator at Penhall Company is responsible for supporting weekly payroll processing, ensuring compliance with union requirements, managing various payroll functions, and employment verifications. This role requires strong organizational skills, attention to detail, and experience with payroll systems.Duties and ResponsibilitiesProcess weekly payroll, supporting and backing up the Payroll Lead for four U.S. and two Canadian employee groups.Manage Verifications of Employment via ADP and ensure compliance with union requirements (deductions, fringes, remittances).Monitor and respond to payroll-related emails (Pay Wisely card requests, garnishments, compensation changes, PTO/payroll issues).Maintain accurate employee documentation in HR/Payroll systems; handle timecard portal (KeyStyle) support requests.Coordinate referral bonus program: initiate payments, update terminated employees, and reconcile balances.Manage 401(k) loans: enter new loans, track repayments, and close loans as appropriate.Update weekly benefit deductions for new hires and terminations; monitor PTO eligibility and adjust accruals at 5- and 10-year milestones.Process branch per diem Pay Wisely card requests and submit to Accounts Payable.Provide documentation for internal and external audits and assist with 401(k) match contribution setup.Support employee terminations and status changes and perform other payroll duties as assigned.Required Skills and Abilities:Strong attention to detail, organizational, and customer-service skills.Excellent verbal and written communication abilities.Proficiency with payroll systems and timekeeping portals (e.g., KeyStyle).Ability to handle confidential information with discretion.Essential Core Competencies:Accuracy: Consistently ensures payroll data is entered and processed with precision.Time Management: Effectively prioritizes tasks to meet tight payroll deadlines.Communication: Clearly conveys information to employees, managers, and external parties.Problem Solving: Identifies payroll issues quickly and implements appropriate solutions.Confidentiality: Handles sensitive employee and financial data with the highest level of discretion.Compliance Awareness: Maintains up-to-date knowledge of union, tax, and employment regulations.Teamwork: Collaborates effectively with HR, finance, and operations to support company goals.System Proficiency: Demonstrates strong command of payroll and timekeeping systems to ensure efficient processing.Education and Experience:At least High school diploma or equivalent required; associate or bachelor's degree in Business, Accounting, or a related field preferred.Minimum 2?years of payroll processing in an ERP environment; union and certified payroll knowledge highly desirable.Physical Requirements:Prolonged periods sitting at a desk and working on a computer.Must be able to lift up to 15 pounds at times.Ability to walk job sites as needed.May be required to travel to job sites or other locations as necessary.Legal Disclaimer:Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of the job.
