The ideal candidate will be proactive, highly organized, independent, able to learn quickly, and capable of managing diverse tasks in a fast-paced environment.Key Responsibilities:Administrative SupportStrong verbal and written communication skills to manage and email correspondence internally and with customersProofreading marketing collateral, website pages, and summarizing vendor contractsMaintaining data in CRM, including customer quotes, vendor contacts, opportunities and vendor quotesManage administration for projects, Zoho Projects, for monitoring of renewals, projects, etc.AccountingAssist with customer invoice processing, vendor invoices and other accounting tasks in Quickbooks Online (QBO)Receive checks and other payments in QBOReconcile various accounts in QBO (credit cards, etc.)Marketing/ProspectingSupport and help drive digital marketing efforts, including content creation, email campaigns, prospecting/social mediaMake calls and set up discovery calls with prospective clientsPurchasing/Management of RenewalsFully responsible for the process working directly with customers to quote/invoice/order for renewals for vendor coverage and licensingCoordinate/monitor procurement of office and operational suppliesOversee person who cleans the office bi-weeklyManage vendor relationships and partnership programsMicrosoft LicensingManage customer licensing for Microsoft, Adobe, other vendorsTrack license and coverage renewals and usage both internal office and for external customersQualifications:2+ years of experience in an administrative role with exposure to accounting, marketing, and purchasing/procurement a plusFamiliarity with Microsoft 365 administration and license managementStrong Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)Strong organizational, multitasking, independence and communication skillsExperience with accounting software, CRM, and marketing tools is a plusFamiliarity with Cisco/distribution procurement process and sites a plusBenefits:Competitive salary and performance bonusesHealth and dental insurance401(k) with company matchPaid time off and holidays
