As an Executive Assistant (EA) and Office Manager, you will provide high-level executive support to the CEO and Leadership team. This role requires impeccable organizational skills, proactive problem-solving, and the ability to manage confidential information with discretion. Additionally, you will help manage the day-to-day office operations, fostering a productive and positive work environment for our team.The ideal candidate thrives on being two steps ahead, loves wearing many hats, and believes no detail is too small.What Youll DoExecutive SupportProvide high-level administrative support to the CEO, including managing calendars, scheduling meetings, coordinating travel arrangements, etc.Oversee the CEO’s schedule, including inbox and calendar management, meeting prep, and ensuring all commitments are efficiently managedOrganize and prepare materials for executive and team meetings, including drafting agendas, taking minutes, updating weekly update processes and following up on action itemsDraft, edit, and proofread correspondence, reports, and presentations with the highest level of accuracy and professionalismManage expense reports for the CEO, ensuring accuracy and timely submissionAnticipate needs and proactively manage executive workflow and prioritiesAct as a liaison between executives, internal teams, and external stakeholdersOffice ManagementGreet and direct visitors, ensuring a professional and welcoming experienceOversee daily office operations, ensuring an organized, stocked, and well-functioning work environmentManage office inventory, vendor contracts/relationships, service agreements, and coordinate equipment maintenance and repairsAssist with incoming and outgoing mail and packages to the officeAssist with invoice processing and vendor coordinationSupport seasonal planning and product launches in collaboration with internal teams (i.e.. design, marketing, sales, production).Coordinate and support initiatives and events, activities, programs, etc.Assist with any special projects, strategic initiatives, and confidential matters as assignedWhat Youll Need5+ years of executive/C-level administrative support experiencePrior experience managing office operationsHigh level of professionalism, discretion, and integrity in handling confidential internal and external communications and informationProven ability to manage multiple high-priority projects and tasks in a fast-paced environmentStrong written and verbal communication skills, with the ability to interact effectively with all levels of the organizationAdaptable and flexible to changing priorities and business needsResourceful and solutions-oriented mindsetDemonstrate emotional intelligence and an unshakable sense of judgmentBe a role model and advocate for Brixton’s culture and values · Proficiency with MS Outlook, Excel, and PowerPointAbility to support and work flexible hours where neededBrixton is an equal opportunity employer that is committed to diversity and inclusion in the workplace.
