Office AdministratorHybrid – 4 days in-office, 1 remote day per weekAbout Us:Founded over 30 years ago, we have grown rapidly from a small team to an over 80-person company with a national presence. With a growing in-office population (plus seasonal interns), we’re looking for an energetic and detail-oriented Office Manager to help us bring polish, consistency, and heart to our office operations.We’re a team of real, genuine people who value honesty, strong communication, and a no-task-too-small mentality.Position Summary:We are seeking a highly organized, proactive, and dependable Office Manager to manage the daily operations of our office and serve as the backbone of our in-office experience. You’ll ensure smooth day-to-day operations, provide key administrative support, and help cultivate a welcoming, polished, and efficient work environment.Key Responsibilities:Administrative & Operational Support:Receive and distribute mail, packages, and courier deliveriesAssist with executive expense report filingMaintain organized filing systems (both digital and physical as needed)Answer and direct phone calls, take messages, and ensure timely communicationSchedule meetings, prepare documents, and provide general administrative support to staff and leadershipDaily Office Management & Building Support:Ensure the office remains clean, organized, and guest-ready at all times, including maintaining conference room appearance and overseeing general tidinessServe as the primary liaison with building management for all maintenance, repairs, and facility-related needsProactively manage office supply inventory and place orders for essentials, snacks, and hospitality items to maintain a polished and well-stocked environmentTake hands-on responsibility for daily upkeep tasks as needed to ensure a professional and welcoming spaceEmployee & Events Experience:Coordinate food orders for meetings, team gatherings, and office eventsManage Instacart or other grocery deliveries for office stockAssist with company culture initiatives, such as birthdays treats and work anniversariesSupport onboarding logistics for new hires and internsDocumentation & Process Building:Begin building an Office Services Manual, including a master vendor list, key procedures, and office protocolsHelp establish office-wide best practices for efficiency and organizationEvent Coordination:Assist in planning and executing office events, intern programming, team-building activities, and employee engagement initiativesWho You Are:2–3 years of experience in office administration, office coordination, or a related role (professional services or finance environment a plus)Extremely detail-oriented with strong organizational and multitasking skillsAn excellent communicator—clear, honest, approachable, and proactiveNo-task-too-small attitude—you take ownership of the space and don’t wait to be told what needs to get doneProficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)Discreet and professional when handling confidential informationPositive, adaptable, and eager to grow with a rapidly scaling organizationProfessional or Financial Services experiences, (preferred)Why Join Us?You’ll play a critical role in shaping the in-office culture and operations at a fast-growing company filled with kind, collaborative people.
